Reports To : Job Cost Accountant

Job Type : Full Time

Role Description :

The Contract Administrator manages, administrates, and reviews business contracts and contract change order management for including all company agreements including prime contracts, subcontract agreements, purchase orders, equipment purchase and rental agreements. Their duties include managing all contract documents and insuring the terms and conditions are compliant with each party and do not deviate from REEDERS standard list of requirements. They should analyze potential risks involved with all contract agreements including, standard contract language, specific scope of work, insurance requirements, payment and performance bonds, and other typical construction contract requirements. The Contract Administrator works hand in hand with the Purchasing Department to insure a smooth and timely execution of Subcontracts that be passed on the Operations Department to proceed with the work.

Responsibilities :

  • Conducting oneself in a professional manner as a company representative, demonstrating sound judgment and conduct.
  • Answering, initiating, and directing phone calls.
  • Writing and distributing email, correspondence, memos, and forms.
  • Maintaining a filing system via secure server

Managing multiple tasks in a fast-paced environment.

  • Managing Vendor files including current address, contact information, payment methods, insurance, and any additional information required by contracts.
  • Managing subcontractor contracts from start of project until completion.
  • Managing Prime Contracts from start of project until completion.
  • Providing support to Bid / Estimating by delivering bids to designated bid locations
  • Project Management

  • Efficiently and consistently communicates project issues to supervisor
  • Contribute to Cost Report - Directly, through pulling data, formatting report; or indirectly, by providing proper coding of contract documents, PO's, invoices, etc.
  • Successful tracking of critical thru Procore and Assist PM / PE with drawing up contract documents or change orders, as needed, ensure it is sent out to sub / entire project team via LOI email chain and saved to proper location for recording purposes
  • Ensure SOV is received and approved by project team prior to processing first payment.
  • Coordinating day-to-day administration of client accounts and contracts
  • Ensuring that the contract information is accurate and current
  • Documenting and reviewing contract terms and conditions
  • Preparing client contracts
  • Negotiating contract terms and conditions with internal and external business partners
  • Ensuring timely and accurate contract approval
  • Submitting contracts to the appropriate authorities
  • Performing document review meetings
  • Preparing financial statements
  • Assisting in the preparation of reports

  • Minimum Qualifications :

    Bachelors Degree

    2-4 Years of experience in administration

    Preferred Qualifications :

    Thorough knowledge of general contract and construction administration principles, policies and procedures.

    Knowledge and understanding of Public Bid laws that govern school district contracts and purchasing procedures.
