Job Description

Support Services Coordinator - Finance & Administrative Division The Utah Attorney General's Office has an immediate opening for a Support Services Coordinator to work in the Finance & Administrative Division. This is a key role in our General Services Section by providing support to various divisions in the agency. Incumbents oversee a variety of support services for the agency, including telecommunications, motor pool, facility, mail processing, equipment relocation, purchasing, etc.

Incumbents assist in the preparation of appropriation requests and budget reports, analysis of expenditures, revenue and projections and agency workload needs. Incumbents may assist in the coordination of office management services and make recommendations for solutions to administrative problems.

Qualified applicants will often answer incoming phone calls, greet walk-ins, validate parking, receive deliveries, and provide customer service to the agency and its constituents. The ideal candidate will be detail-oriented, able to work independently with little to no supervision, and possess excellent communication skills.

Responsibilities

  • Manages accounting or budget activities and provides fiscal information
  • Monitors agency or program budget including revenues, expenditures, budget projection, etc.
  • Oversees accuracy of contract tracking system; monitors and improves as needed
  • Generates and monitors work orders, service contracts, etc.
  • Coordinates and / or manages support services such as telecommunications, motor pool, facility, mail processing, equipment relocation, etc.
  • Working with people in a manner that shows sensitivity, tact, and professionalism
  • Providing customer service to the agency and the constituents of the State of Utah
  • Performing data entry
  • Purchasing
  • General office cleaning
  • Answer phones
  • Prepare and process documents
  • Maintain files and record-keeping systems
  • Originating correspondence, documentation, and other written communication
  • Locating and assembling records and information which may require research and subject matter knowledge
  • Basic accounting

  • The ability to communicate information and ideas in speaking and writing so others will understand.
  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Managing one's own time and the time of others.
  • Knowledge of administrative and clerical procedures and systems such as Microsoft Office Suite, managing files and records, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
