The Receptionist will serve as the first point of contact for CDCB by providing administrative support and exceptional customer service to clients, visitors, and staff.As the first point of contact, the receptionist creates a positive and professional impression of cdcb. Duties and Responsibilities :
Greet and Welcome Clients : Welcome clients, visitors and Staff to the office, ensuring they feel valued and comfortable.Maintain a friendly and professional demeanor while answering inquiries and directing them to the appropriate person or department. Answer and Route Calls :
Manage incoming phone calls, promptly and courteously answering general inquiries, and transferring calls to the appropriate staff member or department.Take accurate messages and put on hold when necessary to ensure timely delivery. Handle Client / Visitors / Walk-ins Inquiries :
Respond to client inquiries, both in person and over the phone, providing accurate and helpful information about cdcb. Coordinate Appointments : Schedule and confirm appointments for departments within cdcb such as Homeownership and Every Step Counts.Maintain the office calendar and inform relevant parties of any changes or updates. Manage Front Desk Operations :
Maintain a clean, organized, and professional reception area.Ensure all necessary supplies, including brochures, forms, and marketing materials, are readily available. Manage Mail Correspondence :
Receive, sort, and distribute incoming mail, packages, and deliveries.Prepare outgoing mail and packages, ensuring proper postage and addressing.Maintain accurate records of incoming and outgoing mail and packages Maintain Customer records / Confidentiality :
Handle sensitive information with discretion and maintain strict confidentiality regarding client details, contracts, and internal office matters by maintaining updated records. Provide Administrative Support : Assist with special assignments and administrative tasks, as needed by department. Other duties as assigned. Required Qualifications, Skills and Experience : Previous experience as a receptionist or in a customer service role is preferred. Strong interpersonal and communication skills to effectively interact with clients, colleagues, and management. Excellent organizational and time management abilities to handle multiple tasks and prioritize effectively. Experience in managing mail correspondence and basic knowledge of mail processing procedures. Supervisory Responsibilities : This position does not supervise other employees. Compensation and Benefits : $15.00 per hour Bonus – Based on production goals met 100% of premium for health, vision and dental benefits paid by cdcb.
