The Sales Contract Administrator will be responsible for all phases of contract administration which include leading and / or participating in proposal preparation in response to customer RFI’s, RFP's & RFQ's which may involve cost and price analyses, contract negotiation, contract administration, and customer activities in accordance with company policies, contract and legal requirements, and customer specifications. Serve as the company’s primary point of contact for contractual matters. Provide for timely and effective customer communications and develop and maintain positive customer relationships with both internal and external customers.

Essential Functions

Contract & Proposal Management :

  • Leads and / or participate in proposal preparation, contract negotiation, administration, and customer contact activities to ensure proper contract acquisition and fulfillment.
  • Prepares and assembles technical proposal packages, including customer presentations.
  • Identifies contractual risks and mitigates them with appropriate contract provisions.
  • Plans and executes complex contract negotiations to achieve favorable terms.
  • Ensures final contract documents are consistent with negotiated agreements.
  • Administers quotes, order entry, and contract processing for assigned customers.
  • Receives and processes Requests for Quote (RFQs) and incoming Purchase Orders.

Business Development Support :

  • Conduct market research to identify potential new customers and market opportunities.
  • Assist the business development team in preparing for client meetings, including creating presentations and compiling briefing materials.
  • Follow-up on Open Quotes and get feedback from Customer which will be stored in ERP system.
  • After Management review, sendoff proposals to Customers as required.
  • Help coordinate trade show participation and other business development events.
  • Collaboration & Communication :

  • Serve as a key business advisor to Program Managers on contractual and operational matters.
  • Interfaces with key customers to ensure contractual compliance and performance.
  • Prepares and presents clear, concise reports and summaries to management and stakeholders.
  • Communicates effectively with internal teams and customers to clarify requirements.
  • Administrative Support :

  • Manage and maintain department files, records, and correspondence in an organized manner.
  • Provide general administrative support to the Estimating and Business Development departments, including scheduling meetings and coordinating travel arrangements.
  • Act as a point of contact for internal and external inquiries, directing them to the appropriate personnel.
  • Assist in preparing reports, memos, and other internal communications.
  • Compliance & Systems Management :

  • Provides guidance to project teams on government contracting requirements, including FAR, DFARS, and other regulations.
  • Ensures compliance with all business unit processes and procedures in an AS9100 environment.
  • Maintains and updates program licensing details in Exostar and other company systems.
  • Acts as an expert user of Votaw’s contract management system, managing workflows and maintaining accurate records.
  • General Duties :

  • Performs administrative tasks and problem-solving in a complex and confidential environment, exercising discretion and independent judgment.
  • Supports corporate due diligence and other strategic initiatives.
  • Performs additional duties as assigned.
  • Requirements :

    Qualifications and Skills

    Formal Education & Certification

  • Minimum of 4 years of hands-on experience in the aerospace and defense manufacturing industry is required.
  • Strong preference for experience in a job shop environment focused on build-to-print, custom fabrications, and large components.
  • A Juris Doctorate (JD) degree, or current pursuit of one, is a plus but not required.
  • Knowledge & Experience

  • In-depth knowledge of government contracting regulations (FAR, DFAR) and experience with DoD proposals.
  • Proven experience negotiating and administering various contract types, including master agreements, purchase agreements, and statements of work.
  • Proficiency with MS Office Suite (Excel, Word, Outlook, PowerPoint) and experience with ERP / MRP systems.
  • Understanding of aerospace quality standards (e.g., AS9100) is beneficial.
  • Excellent written and verbal communication skills, with the ability to convey technical information to diverse audiences.
  • Strong analytical and problem-solving abilities.
  • Proficiency with Customer Relationship Management (CRM) software is highly desirable.
  • Demonstrated experience in providing administrative support in a professional office environment.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal skills to effectively communicate with internal teams and external clients.
  • Experience with market research and data analysis is a plus.
  • Ability to work independently and prioritize tasks in a high-pressure, team-oriented environment.
  • Must be a self-starter with a keen attention to detail and a proactive approach.

  • Work Conditions

  • 40-hour onsite work week
  • Hours outside of a normal working day may be required to meet project deadlines or respond to system incidents.
  • Sitting for extended periods of time.
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices.
  • Some travel may be required
  • Ability to work occasionally in manufacturing shop floor conditions, including heat or cold.
  • Additional Requirements
