Medical Assistant - Facility Onboarding Specialist

The Medical Assistant Facility Onboarding Specialist is responsible for supporting the successful launch and operational readiness of new clinical facilities. This role involves frequent travel to new sites to assist with setup, staff training, process standardization, and implementation of clinical workflows and systems. The position plays a key role in ensuring smooth onboarding, compliance with clinical standards, and consistency in patient care delivery across all facilities. It is an individual contributor role that requires strong clinical experience, excellent communication skills, and adaptability to dynamic healthcare environments.
Responsibilities
- Travel to new or transitioning clinical facilities to assist with site setup and onboarding activities.
- Coordinate with internal departments (Operations, HR, IT, and Compliance) to ensure the facility is ready for patient care.
- Support implementation and testing of clinical workflows, EMR systems, and patient intake processes.
- Verify that all equipment, supplies, and clinical spaces meet company standards prior to go-live.
- Facilitate product installation and replacement by coordinating with the device installation team.
- Manage the account handover process from the sales team and drive project implementation.
- Conduct daily checks for device health, report issues, and ensure timely resolution.
- Create and implement clinical protocols aligned with facility operations.
- Train new facility staff on standard operating procedures, clinical documentation, EMR usage, and patient care workflows.
- Provide comprehensive on-the-job training for nursing staff, housekeeping, and administrative teams on product usage.
- Train staff on new product features and drive adoption across the facility.
- Conduct on-site and virtual training sessions to promote best practices and ensure policy compliance.
- Serve as a mentor and first point of contact for staff during the early operational phase of a new facility.
- Document feedback and improvement areas identified during onboarding for process refinement.
- Ensure new patients are onboarded through a tele-calling process with physicians.
- Implement and monitor alert management protocols, including acknowledgement, validation, and escalation.
- Provide short-term clinical coverage or assistance during facility ramp-up periods as needed.
- Monitor workflow efficiency and identify gaps that may impact patient care or operational readiness.
- Collaborate with leadership to implement corrective actions and optimize new site operations.
- Implement and present monthly Clinical Governance Reports to facility leadership.
- Attend weekly reviews and planning sessions with the Zonal Account Manager or Operations Lead.
- Ensure compliance with all required documentation, including activity logs and medical notes.
- Collect and report competitor insights or activities observed within assigned facilities.
- Liaise between facility teams and central operations to ensure alignment and consistent execution of onboarding plans.
- Maintain regular updates and reports on site progress, issues, and completion timelines.
- Build positive relationships with facility teams to support engagement and retention during the transition period.
- Identify opportunities to enhance onboarding efficiency, documentation, and staff training materials.
- Contribute to the development of onboarding SOPs, checklists, and evaluation tools.
- Share best practices and lessons learned from each facility to drive continuous improvement across the network.
Qualifications
Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), Registered Nurse (RN), or Licensed Vocational Nurse (LVN) certification required.Strong clinical background in skilled nursing, long-term care, or similar clinical environments.Excellent communication, interpersonal, and training skills.Proficiency in healthcare technology, electronic health records (EHR / EMR), and remote monitoring platforms.Ability to work independently and collaboratively in fast-paced, changing environments.Preferred Skills :
Experience with remote patient monitoring systems or healthcare technology deployments.Knowledge of healthcare compliance, data protection, and clinical governance standards.Strong project management, process implementation, and cross-functional coordination abilities.Comfort with extensive travel, fieldwork, and hands-on operational responsibilities.Additional Details :
