Executive Personal Assistant
PrideStaff is currently seeking a friendly, organized, detail oriented, driven, and professional Executive Personal Assistant for a client in Downers Grove, IL. The ideal candidate will be the first point of contact providing exceptional customer support while also handling various means of correspondences and acting as a liaison.
This role requires excellent communication skills, a professional demeanor, and the ability to multitask effectively with daily tasks.
This is a TEMP to HIRE opportunity!
1st Shift : 8am-5pm Monday-Friday
Pay : $70-$90k (heavily dependent on experience)
Key Responsibilities :
- Manage and maintain complex business and / or personal schedules
- Act as a gatekeeper, monitoring and controlling access to executive staff
- Resolve conflicts as they arise, while simultaneously preventing future issues
- Problem solving, decision-making, discretion, and autonomy
- Arrange conference calls and meetings, preparing necessary documents and agendas
- Book and coordinate business travel, accommodations, and transportation
- Prepare reports, memos, and presentations
- Meticulous approach to prioritizing tasks and documentation
- Utilize Microsoft Office and other relevant software
- Manages filing system and databases; could include expense reports
- Answer and manage incoming phone calls, take messages, and direct calls accordingly
- Perform general office tasks, such as filing, scanning, and data entry
- Handle confidential information with integrity and professionalism
- Anticipate needs and take initiative to find solutions or complete before being asked
Qualifications :
5-10 years of previous experience as an executive secretary, administrative assistant, or in other related fields.Strong organizational and multitasking abilities.Strong attention to detail.Excellent verbal and written communication skills.Disposition to learn, lead, communicate and collaborate with others.Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)Customer-focused with a friendly and professional demeanorAbility to speak Greek, preferred but not requiredFunctional Skills :
Read and track Executive's email traffic, flag items for follow-up and use intelligence gleaned from e-mail to better anticipate shifts in priorities and scheduling.Prioritize and ensure that all incoming correspondence, telephone calls and mail requiring action or attention is acted upon in a timely manner.Ability to adapt to and to adopt the preferences of the Executive.Works with Communication & Development Manager on website publishing, social media, postings, updates, and events.Serve as a "funnel" of information for staff and other acquaintances.Clear and effective interpersonal communication skills, including impeccable verbal and written communication skills, exceptional proofreading and editing skills.Reasoning :
