Project Administrative Assistant | Kansas City, KS
LHH is partnering with a client that is looking for a Project Administrative Assistant to support operational flow within a production-focused environment by coordinating tasks between leadership and technical teams. Responsibilities span across managing workflow documentation, tracking job progress, and facilitating communication with external partners. Duties include overseeing time records, handling shipments, preparing billing materials, updating internal reports, maintaining organized records, monitoring supplies, and managing small-scale financial transactions. Success in this role requires a high level of precision, initiative, and accountability, along with the ability to work autonomously and maintain consistent productivity.
Responsibilities :
- Create and track RFQs and RFIs from various suppliers for material, components, or outside processing activities.
- Create Purchase Orders in our ERP system or coordinate credit card or check request payments.
- Request, direct, coordinate, and manage shipments / deliveries of all completed orders, the logistics of outside processing requirements of work orders, and the transportation requirements of tooling rental, equipment repair, equipment rental, or other production or facility needs.
- Track and record direct labor, material costs, and outside processing costs to each work order.
- Maintain completed work order record files.
- Manage, update, and regularly cycle-count raw material, finished goods, consumable tooling, tooling, and office supply inventories.
- Create and distribute monthly Salesperson Commission report, monthly raw material inventory report, monthly WIP report, and other reports as needed or required.
- Coordinate new account set-ups and payment terms with the Accounts Receivable Department.
- Maintain customer records in ERP including customer address, customer contacts, customer requirements such as preferred carriers, coding, certificates of analysis, quality assurance compliance and special handling requests.
- Answer the phone to handle, or direct to appropriate contact, general customer inquiries and requests, vendor inquiries and requests, corporate office inquiries and requests, and any other miscellaneous inquiries and requests.
- Invoice, mail or electronic mail completed customer orders in ERP system.
- Complete intercompany transfers in ERP system.
- Process billing adjustments and returns (RMA’s) as needed in a timely fashion.
- Troubleshoot questions / issues to a successful resolution for the customer.
Requirements :
High School Diploma Required2+ years of customer service experience in a hands-on customer service role.2+ years of industrial materials sales / support and / or machine shop sales / support experience.Professional telephone attitude and capabilities.Excellent communicator with positive attitude and energy.Detailed oriented, be able to effectively and accurately multitask, and have good organizational and communication skills (orally and written) to effectively deal with internal / external customers.Ability to use Microsoft Outlook, Adobe Acrobat, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Access, Email and Internet.Customer service focused, energetic, forward-thinking and self-assured with high ethical standards and an appropriate professional image.Job Details :
