Responsibilities

  • Scheduling business meetings, calls, travel, and responding to emails on CEO's behalf
  • Set up catering for meetings, make reservations for dinners and lunches with attendees
  • Manage a ton of travel rescheduling including flights, car service, etc., manage expenses via Concur
  • High level calendar management - keep an eye on double bookings, understand what takes priority over other items, etc.
  • Office management - handle IT issues, update Excel files for new employees, checking mail and sorting it, ordering and putting away supplies
  • Assist with company party and team building event planning
  • Assist with on / off-boarding of new employees
  • Assist CEO's EPA with ad-hoc personal assistance tasks as needed

Qualifications :

  • 3+ years' experience as an Executive Assistant, preferably in Finance
  • OK with sitting at reception 5 days / week
  • Proficient with MS Office including Outlook, Word and Excel
  • No task too big or small mentality, highly organized with strong communication skills
  • Bubbly personality who is confident and willing to take on any task
