About the Position

This position provides administrative coordination and support for the Computer Science and Engineering Hub. Key responsibilities include preparing travel claims; hiring student assistants and graders; monitoring and approving student hours in PeopleSoft; managing purchasing activities; assisting with class scheduling; assigning computer and engineering labs; administering department scholarships; and coordinating special events. The position also serves as a liaison between the Hub and other university departments, as well as off-campus partners, ensuring historical and operational continuity within the Hub.
Responsibilities
Provides administrative support for Computer Science and Engineering Hub programs and faculty
- Anticipates problems, institutes measures to prevent occurrence and resolves problems as they arise.
- Uses Federal / State / University / College / Department procedures and regulations to assure departmental conformity.
- Sets priorities for student workers.
- Provides information to campus and community agencies upon request.
- Serves as an on-campus liaison for the Hub for students and staff, as requested.
- Independently hires, orients, trains and directs student assistants and produces SEAFs.
- Determines work eligibility for student graders and coordinates assignments.
- Provides first-level orientation to new faculty and staff (related to Hub and University administrative operations) and other faculty support.
- Enters data into Student Administration System for the course schedule (including course restrictions, class size, room assignment, faculty assignment), adding and canceling of classes, assists SSPs with registration, answering student questions, and add / drop; manages waitlists; provides student permission numbers (as needed).
- Assists with applications to graduate programs.
- Manages student enrollment to ensure compliance with accreditation requirements (School of Engineering programs) with respect to prerequisites and course equivalencies.
- Maintains syllabi for all courses taught in the department.
- Conducts physical searches to identify equipment and maintain equipment inventory records.
- Holds and maintains University issued Procurement card; handles department office supply orders and express PO’s. Completes monthly ProCard report per guidelines.
- Assists with travel reimbursement.
Supports Special Projects and Events
Handles room reservations, flyers, food, and advertisements for colloquiums / speakers and other department level events, such as awards presentations.Coordinates with College and University Scholarship Coordinators in the management of department scholarships.Develops rapport and appropriate communication with donors of scholarships.Coordinates with University Scheduling when needed.Represents the University and the Hub at campus events such as commencement and Al Fresco.Minimum Qualifications
A fully functional knowledge of and skill in standard office procedures and practices.An ability to understand and operate in a variety of organizational structures.Thorough knowledge of English grammar, spelling, and punctuation and ability to clearly communicate orally and in writing.Knowledge of business mathematics beyond basic arithmetic.Ability to use and quickly learn new office support technology systems and software packages.These minimum qualifications would normally be obtained through a high school program, technical / vocational program, or their equivalents combined with several years of related office work experience.Required Qualifications
Knowledge of university student and HR systems.Knowledge of privacy laws, faculty and staff MOUs, PT&R regulations.Thorough knowledge of essential bookkeeping and general office systems.Expertise in Windows, Word, and Excel.Effective communication skills with a diverse population.Thorough knowledge of English grammar, punctuation, and spelling.Knowledge of all degrees and options offered by the department.Skills in delegation and motivation.Able to use and quickly learn new office support technology systems and software packages.Ability to use and operate equipment used in the performance of the assignment : Computers, faxes, scanners, copiers, printers.At least two years of related office work experience required.Ability to work effectively in a busy environment with frequent interruptions.Ability to perform moderate to heavy computer work.Ability to manage multiple projects with multiple deadlines simultaneously.Preferred Skills and Knowledge
Bachelor’s degree (BS / BA) preferred.Coursework in Computer Science or related field preferred.Condition(s) of Employment
Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to : criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and / or verification of work history is required for employment. Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and / or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
