POSITION OVERVIEW
The Asset & Project Manager is involved in every aspect of our shopping center portfolio. Core responsibilities include completing projects related to acquisitions, dispositions, and asset management of shopping centers, as well as projects related to company improvement.
This candidate needs to be highly capable of problem-solving and managing many projects, with shifting priority levels and a high degree of ambiguity, in a fast-paced environment. The ideal candidate is thorough, accountable, coachable, organized, detail-oriented, assertive, and persistent. Also, a self-starter with excellent business communication skills, happy to work independently, and willing to adapt to new technologies in an effort to enhance position and company efficiencies.
The ideal candidate has a commercial real estate background and possesses a thorough understanding of how real estate project cycles flow from acquisition to disposition.
ESSENTIAL DUTIES & RESPONSIBILITIES
Asset & Project Management
- Lead and organize weekly internal asset management meetings, ensuring clear accountability, timelines, and task completion across the team
- Support the leasing process by managing and completing the new lease checklists
- Assist with developing and monitoring property-level budgets and project scopes / timelines
- Manage property improvement projects from concept to completion while ensuring timely and cost-effective execution; track performance and report on progress
- Analyze and monitor property financials, rent rolls, capital plans, and variances against budget
- Proactively identify value-enhancing opportunities (e.g. site improvements, signage upgrades, etc.)
- Identify, pursue, and secure incentive funding opportunities (e.g. EDC funding)
- Conduct regular property site visits to assess condition, execution of projects, and recommendations
Acquisition / Disposition Support
Support the acquisition process from LOI through closing by managing due diligence checklists and timelines, assisting with underwriting, third-party vendor coordination, obtaining debt and equity, closing coordination, etc.Order, track and manage third-party reports including surveys, inspections, zoning reports, environmental assessments, and other required diligence itemsCoordinate with municipal departments to investigate and resolve pre-existing code violations, confirm zoning compliance, and assess permitting / approval requirements for planned improvement projectsLead the preparation of investment offering packages for prospective investors and lendersWork closely with the title company, lender and attorneys to review commitments, closing documents, resolve exceptions, and ensure a smooth closingReview leases, tenant estoppels, property financials, REA’s and other materialsInvestor & Lender Reporting
Write and prepare quarterly update reports of each property for existing investors, summarizing leasing activity, capex / project status, and market commentaryPrepare periodic lender reporting packages, including operating statements, rent rolls, budgets, leasing updates, and capital expenditure summariesMonitor loan compliance and assist with requests related to reserve draws, DSCR tests, etc.Support refinancing or loan modification efforts by contributing property-level data, business plan updates, and supporting documentationDocument Prep & Support
Prepare drafts of transaction related documents by filling in designated areas (e.g., leases, amendments, purchase agreements, etc.)Internal Operations & Process ImprovementSkim industry news headlines / articles and send a weekly email to the internal team with relevant newsOversee implementation and team-wide integration of HubSpot (operating software)Identify opportunities to improve quality and services, and implement new systems or technology tools to enhance team efficiency, communication, and data managementQUALIFICATIONS & REQUIREMENTS
Minimum of 3 years of relevant experience in a fast-paced environment connected with commercial real estate is preferred. Relevant experience may include working for a commercial real estate lender, title company, broker, property manager, or landlord.Highly capable of problem-solving while managing many projectsComfortable in a fast-paced work environment where shifting priority levels, a high degree of ambiguity and a strong sense of urgency are essential for effective performanceSelf-starter with the ability to work independently while being a part of a team cultureThorough, accountable, coachable, organized, detail-oriented, assertive, and persistentExcellent business communication skills.
