Position Summary :

The Product Program Coordinator supports the successful execution of the Girl Scouts of Orange County Cookie Program by managing complex customer inquiries, assisting with event planning, and providing administrative support. Responsibilities include coordinating logistics, preparing documents, and supporting communication efforts to ensure smooth operations throughout the cookie season.

Essential Responsibilities / Activities :

  • Accurately enter, verify, and maintain data across multiple platforms, including Salesforce, Doubleknot, M2OS, and ABC Smart Cookies. Generate reports and perform data audits to identify and correct discrepancies to ensure data integrity.
  • Provide responsive and solution-oriented customer service to Girl Scout members, volunteers, and staff via phone and email, addressing inquiries and cases related to all aspects of the product programs.
  • Create, edit, and maintain a variety of professional documents, forms, reports, and resources that support Product programming and services for members.
  • Manage the procurement and inventory of program-related supplies, including researching vendors, placing orders, tracking deliveries, and maintaining accurate stock levels for Product Program initiatives.
  • Coordinate logistics for meetings, trainings, and events including scheduling venues, arranging equipment and supplies, preparing signage and printed materials, and supporting on-site setup as needed.
  • Assists with a variety of special projects and provides flexible operational support as needed to meet evolving team and organizational priorities.

Qualifications :

  • Minimum of two (2) years of administrative experience, prior experience in a youth-serving or nonprofit organization strongly preferred.
  • Advanced computer proficiency, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Demonstrated proficiency in working with databases and managing data with accuracy and integrity, experience using Salesforce or similar Customer Relationship Management (CRM) systems preferred.
  • Strong interpersonal skills with a proven ability to deliver exceptional customer service and interact effectively with diverse populations of all ages.
  • Demonstrated ability to handle sensitive, confidential information with professionalism and discretion.
  • Excellent time management and prioritization skills; able to manage multiple tasks and deadlines in a fast-paced environment.
  • Willingness and availability to work a flexible schedule, including occasional evenings and weekends, to support organizational needs.
  • Must be able to lift, push, or pull up to 30 pounds as needed.
  • Experience as a Girl Scout (member or volunteer) is a plus and considered valuable for understanding organizational culture and mission.
  • Willingness to support and embody the mission, values, and principles of the Girl Scout Movement.
  • Associate's degree or equivalent combination of education and relevant work experience preferred.
  • Comfortable working in a hybrid work environment, including the ability to maintain productivity, communication, and professionalism while working remotely.
  • Licensed and insured California driver; must pass background screening including driving history.
