Summary :
The Project Coordinator will provide comprehensive support to the Contracts Manager in the preparation, processing, and management of project-related documents. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Project Coordinator will play a vital role in ensuring contract documentation, change orders, and other key project elements are processed accurately and in a timely manner.
General Responsibilities :
- Assist the Contracts Manager in preparing and processing contracts, ensuring all documentation aligns with company policies and project requirements.
- Draft, review, and track change orders, ensuring proper documentation and approvals are secured.
- Support the preparation and distribution of Requests for Proposals (RFPs), including tracking submissions and coordinating with vendors or subcontractors as needed.
- Prepare award notices and related communications in coordination with the Contracts Manager.
- Maintain accurate records of all contract-related documentation, including logs, correspondence, and supporting materials.
- Ensure all project documentation is organized, filed, and accessible to relevant stakeholders.
- Monitor project timelines and key deadlines to support contract deliverables and milestones.
- Assist with project reporting, ensuring accurate data entry and status updates.
- Coordinate with internal teams and external partners to facilitate smooth communication and collaboration.
- Perform other administrative duties as assigned to support contract management and project coordination.
Required Skills and Education :
Associate’s or Bachelor’s degree in Business Administration, Project Management, or a related field preferred.Proven experience in project coordination, contract administration, or a similar role.Strong organizational skills with excellent attention to detail.Effective communication skills, both written and verbal.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.Ability to manage multiple tasks and meet deadlines in a fast-paced environment.Experience working in construction, engineering, or related industries is a plus.
