Summary :

The Project Coordinator will provide comprehensive support to the Contracts Manager in the preparation, processing, and management of project-related documents. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Project Coordinator will play a vital role in ensuring contract documentation, change orders, and other key project elements are processed accurately and in a timely manner.

General Responsibilities :

  • Assist the Contracts Manager in preparing and processing contracts, ensuring all documentation aligns with company policies and project requirements.
  • Draft, review, and track change orders, ensuring proper documentation and approvals are secured.
  • Support the preparation and distribution of Requests for Proposals (RFPs), including tracking submissions and coordinating with vendors or subcontractors as needed.
  • Prepare award notices and related communications in coordination with the Contracts Manager.
  • Maintain accurate records of all contract-related documentation, including logs, correspondence, and supporting materials.
  • Ensure all project documentation is organized, filed, and accessible to relevant stakeholders.
  • Monitor project timelines and key deadlines to support contract deliverables and milestones.
  • Assist with project reporting, ensuring accurate data entry and status updates.
  • Coordinate with internal teams and external partners to facilitate smooth communication and collaboration.
  • Perform other administrative duties as assigned to support contract management and project coordination.

Required Skills and Education :

  • Associate’s or Bachelor’s degree in Business Administration, Project Management, or a related field preferred.
  • Proven experience in project coordination, contract administration, or a similar role.
  • Strong organizational skills with excellent attention to detail.
  • Effective communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Experience working in construction, engineering, or related industries is a plus.
