FRONT OFFICE MEDICAL ASSISTANT
Position Summary :
The Front office serves as the primary point of contact for new vascular patients, ensuring a smooth and supportive experience from the initial referral through the first visit. This role is responsible for coordinating the intake process, verifying documentation, and facilitating communication between patients, providers, and the clinical team. The ideal candidate is organized, detail-oriented, and demonstrates exceptional customer service skills. This position will assist with front office check-in and all other front office duties as assigned. May also assist with Medical Assistant duties as needed
Key Responsibilities :
- Serve as the first point of contact for all new vascular patients, providing guidance on the intake process and clinic procedures
- Schedule initial consultations and ensure timely appointment confirmations
- Collect and review patient records, referrals, insurance information, and any required authorizations
- Conduct pre-visit phone screenings to ensure all necessary imaging, labs, and documentation are obtained prior to appointments
- Assist patients in completing medical history forms and other required paperwork
- Coordinate with referring providers to obtain pertinent clinical information
- Communicate patient needs or concerns to the clinical team prior to their visit
- Ensure compliance with HIPAA regulations and maintain confidentiality of patient information
- Support front desk operations
- Track new patient follow-ups and support scheduling for future procedures or evaluations
- Travel to other San Antonio VASC clinics as needed
Qualifications :
High school diploma or equivalent required; associate's degree or healthcare-related certification preferredPrevious experience in a medical office, preferably in a vascular or surgical specialty clinicStrong knowledge of medical terminology, especially related to vascular diseaseProficiency in electronic medical records (EMR) and scheduling systemsExcellent communication and interpersonal skillsAbility to manage multiple tasks in a fast-paced environmentDetail-oriented with strong organizational and problem-solving skillsPreferred insurance verification knowledgeMust be bilingual English / SpanishValid Texas driver's license and insurance in good standingWorking Conditions :
