JOB PURPOSE :
The Tessitura CRM & Database Systems Administrator is the lead architect, administrator, and analyst for Theatre Under The Stars' customer relationship management (CRM) infrastructure. This role ensures the integrity, performance, and security of data across ticketing, marketing, development, education, and finance functions, while maximizing Tessitura's capabilities for revenue generation, audience segmentations, campaign performance, and institutional operations. This position also serves as TUTS’ internal expert for Tessitura infrastructure, vendor integrations, system upgrades, and chargeback reporting.
Core Responsibilities
Tessitura & CRM Administration :
- Own all season events, and performance builds in Tessitura, including pricing structures, promo codes, and reporting frameworks.
- Maintain accurate financial coding and general ledger alignment.
- Manage and audit Tessitura user roles, access levels, and permissions across departments.
- Acts as the first point of contact for CRM - related issue resolution and staff support.
Data Analytics & Reporting :
Build and maintain dashboards and reports for Marketing, Sales, Education, Finance, and Development.Monitor campaign performance and audience trends : provide actionable segmentation and behavioral insights.Lead chargeback documentation and resolution with Finance.Provide data support for forecasting, audit prep, and revenue reconciliation processes.Import / export of data from the database, creation and modification of reports, customization of tables.System Performance & Governance :
Maintain Tessitura data hygiene protocols and ensure data accuracy and standardization across departments.Document CRM standards and inter-departmental training materials.Cross Departmental Support & Training :
Train new and existing staff across departments in Tessitura functionality, campaign tagging, and reporting best practices.Support non-ticketed program configurations for Education (e.g., class enrollment) and Development (e.g., donor events).Respond to internal data requests and coordinate with the Box Office on build timing and institutional rollouts.Vendor Management & Technical Integrations :
Serve as the internal lead on system upgrades, vendor systems coordination (e.g., Tessitura, JCA, SD&A, True Tickets), and data migration planning.Implement and assess integration with third-party platforms to support sales, audience development, and analytics.Assist in evaluating new technical tools and CRM enhancements.Skills and Qualifications :
Tessitura super user or similar CRM / ticketing database (Consortium experience preferred but not required).4 or more years related experience / training and / or equivalent combination of education and experience in database programming and management.Proficiency in Tessitura Analytics, List, System Tables, and SQL reporting.Knowledge of Microsoft Office products and software.Strong Excel and data modeling skills.Experience in financial reconciliation and chargeback documentation.Demonstrated ability to train and support users across varied departments and learning styles.Understanding of IT infrastructure, including but not limited to networking, basic computer maintenance, repair, and troubleshooting.Excellent organizational and communication skills.Diligence on a micro level in dealing with conversion data and for troubleshooting from a large-scale perspective.The ability to work in a demanding environment and maintain a sound perspective, essential for maintaining healthy relationships with co-workers.A positive attitude and an earnest interest in providing good customer service.Ability to maintain confidentiality.Performing arts or nonprofit experience preferred.In any downtime, this position will assist in the responsibilities of the rest of the IT Department, including but not limited to desktop support, network maintenance, inventory distribution, and installation and configuration.
