Position Summary :
We are seeking a highly organized and proactive Administrative Assistant to support our onsite team on a large-scale construction project. This role requires strong administrative skills, attention to detail, and the ability to work effectively in a fast-paced, dynamic environment. The successful candidate will play a key role in ensuring smooth day-to-day operations at the construction site by providing administrative, clerical, and coordination support.
Key Responsibilities :
- Serve as the primary onsite administrative point of contact for the construction team, subcontractors, and visitors.
- Manage daily office operations including scheduling meetings, maintaining office supplies and coordinating catered lunches.
- Assist with preparation and distribution of reports, meeting minutes, and other communications.
- Track and input data related to timekeeping, deliveries, equipment logs, and attendance.
- Coordinate with vendors and suppliers for deliveries, logistics, and access to the construction site.
- Help enforce site safety and security protocols by managing sign-in sheets, badging, and access control documentation.
- Support project managers, engineers, and field staff with administrative tasks as needed.
- Maintain updated filing systems (both paper and electronic) for easy retrieval of project records.
- Assist with onboarding of new team members, including paperwork and orientation materials.
Requirements :
High school diploma or equivalent ; Associate’s or Bachelor’s degree preferred.Minimum 2 years of administrative experience , preferably in construction or a similar field environment.Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with construction software (Procore, PlanGrid, etc.) a plus.Excellent verbal and written communication skills.Ability to handle confidential and sensitive information with discretion.Highly organized with strong attention to detail and time management skills.Ability to multitask and work independently in a fast-paced setting.Comfortable working in an onsite construction trailer or field office environment.Work Conditions :
On-site at an active construction site; PPE may be required.4 wide trailer is the office with a designated space for the admin.Business hours are from 10am to 3pm with occasionally extended hours based on project needs.Exposure to outdoor conditions and construction-related activities.This position will be an 18 to 24 month contract role.Barry-Wehmiller is an equal opportunity employer.
