Job Summary
Travel 2-3 days a month is a must (paid for by law firm)! 5+ years' Legal Office Manager experience required.
ESSENTIAL DUTIES & RESPONSIBILITIES
General Management / Leadership
- Provide oversight and direction to legal assistants, administrative process specialists, office services coordinators, and mailroom / copy center personnel to ensure a high level of administrative support to attorneys.
- Work with firm leadership to develop and execute initiatives that enhance operational efficiency, promote lawyer technological proficiency, and improve staff productivity.
- Monitor the firm's task delegation, work allocation, reporting and workflow management system to improve turnaround times, measure productivity, understand resource capacity and make data driven decisions.
- Ensure compliance with firm processes, policies and procedures.
- Work closely with the office Managing Director in the overall administration of the office.
- Provide coaching and mentoring to support staff.
- Assist in integration of lateral groups to the firm, as needed.
Human Resource Administration
Manage a range of activities related to day-to-day employee relations including coaching, acting as liaison between lawyers and staff, counseling, and conflict resolution.Handle office level employment administrative tasks such as staff time off requests, payroll time adjustments, overtime requests, and weekly payroll processing.Ensure firm policies are consistently applied.Assist with legal assistant, administrative process specialist and office services coordinator interviewing, employee relations, on-boarding of new attorneys and staff, and management of employee departures.Perform and oversee staff performance evaluation process and provide input into salary and bonus proposals for Management Committee approval; communicate salary increases and bonus awards.Office Management
Coordinate select internal and external office-related events.Manage budget for all office-morale related activities ensuring budgetary compliance.Ensure facility is well maintained and assist, on an as needed basis, with office relocation, renovation, and expansion projects.Review specific office location emergency procedures, to include injury reporting, evacuation, and fire safety with all new personnel.Ensure the ongoing general safety of staff and clients. Reports any safety issues to appropriate individual(s), i.e., building management company, leasing agent or HR for follow up and resolution.Knowledge, skills & abilities
Bachelor's degree preferred5+ years of experience in demonstrating progressive responsibility in a supervisory role managing a group providing administrative support to internal / external clients in a law firm.Demonstrated leadership and management ability, with focus on providing a high level of support to internal clients.Experience implementing and ensuring compliance with policies and procedures.Strong analytical, organizational and problem-solving skills.Sound business judgment and decision making skills.Ability to shift priorities, adapt to new situations and be a "hands-on" manager.Proficient in using and leveraging office technology.Ability to establish and maintain positive working relationships with attorneys and staff.LBOS-DAS_
