  • At least 2 years of professional experience in HR operations, project coordination, or process improvement
  • Experience in a higher education or public sector setting
  • Familiarity with HR policies, compliance frameworks, and internal audit practices
  • Demonstrated experience managing projects and tracking tasks to completion
  • Experience with project management tools (Smartsheet, or similar)
  • Experience in Microsoft Office Suite.

Position Summary The Project Specialist for University Human Resources (UHR) Operations will play a critical role in supporting and improving human resources operations across the organization. This position is responsible for coordinating and facilitating a variety of UHR-focused initiatives including policy updates, compliance and audit support, task and project tracking, business process analysis, and process improvement efforts. The ideal candidate is detail-oriented, highly organized, and skilled at facilitating multiple tasks simultaneously. They will collaborate with stakeholders across campus to ensure effective execution of UHR operational projects and initiatives. This position requires strong analytical and critical thinking skills, the ability to adapt to evolving priorities, and a commitment to fostering a culture of continuous improvement.

Essential Duties

  • Coordinate the review, revision, and dissemination of UHR-related policies and procedures in alignment with institutional and system-wide guidelines.
  • Support compliance and audit-related activities by facilitating data collection, documentation review, and process monitoring.
  • Analyze existing UHR business processes and identify opportunities for efficiencies, automation, and improvements.
  • Facilitate the implementation of process improvement initiatives, tracking progress and outcomes.
  • Manage and track a portfolio of UHR-related projects and tasks, ensuring deadlines are met and deliverables are aligned with strategic goals.
  • Collaborate with units across campus to gather input, share updates, and ensure effective communication and coordination of UHR initiatives.
  • Serve as a liaison between UHR Operations and other university departments to align unit-level HR practices with institutional standards.
  • Prepare clear and concise documentation, reports, and presentations for internal stakeholders.
  • Assist with training and communication plans related to UHR projects and policy changes.
