What You Will Do :
As an Operations Support Assistant, you will offer vital operational and hiring assistance to district(s), manage supply orders, and carry out essential administrative tasks integral to office functionality.
Provide seasonal hiring support using the H&R Block applicant tracking system and offer administrative help to the District Operations Coordinator (DOC) to support district(s).
Assist Tax Office Associates with Preparer Tax Identification Number (PTIN) renewal and payment processes.
Receive and manage communication (written, telephone, and electronic) from offices regarding concerns or needs related to supplies, facilities, or support; document issues, research solutions, and resolve them or escalate as necessary to DOC, Company Support Manager (CSM), or District General Manager (DGM).
Coordinate with DOC / DGM / Field Associates on various administrative support tasks.
Source vendors for local facility services and ensure proper payment setup.
Review and verify invoices, preparing payments in Coupa and / or corporate credit card expenses for DOC approval.
Maintain a solid understanding of systems used to support district(s), including Microsoft Teams and Microsoft Suite applications, along with internal systems.
Partake in training sessions aimed at enhancing job performance.
Perform additional duties as assigned by the DOC or in collaboration with the CSM.
What You Bring to the Team :
A high school diploma or equivalent.
Clear and calm communication skills via telephone, email, and chat, complemented by effective customer service techniques.
Ability to work independently with minimal supervision.
Prior customer service experience.
Strong decision-making, analytical, and problem-solving abilities.
Excellent organization, prioritization, and project coordination skills.
Effective oral, written, and interpersonal communication skills; capacity to interact with all levels of associates.
Strong time management and organizational skills with the ability to juggle multiple priorities.
Experience working in a Windows Environment.
Some experience or eagerness to learn about supporting Microsoft operating systems, networking connectivity, computer peripherals, software applications, and remote tools.
Preferred Qualifications :
1-3 years of administrative experience.
