Position Summary

Under the supervision of the Dean of Workforce Instruction, the Program Assistant will perform work requiring knowledge and experience specific to Workforce Instruction programs.The Workforce Instruction division consists of all career-technical education (CTE) programs as well as six bachelor's degree programs. The Program Assistant provides essential support to the division through various responsibilities including : assisting with division communications and being a point of contact for faculty, staff, deans, current and prospective students; creating and maintaining records and files; production and maintenance of program materials such as websites and program planning guides; assistance with budget reporting as necessary; and providing support on general division logistics such as key requests, room scheduling, maintenance requests, and ordering of equipment and supplies.

This position requires many daily interactions with faculty, students, the Associate Deans, the Dean, and staff in the division and across the college, all while working in a professional, collaborative, multi-cultural and multi-ethnic environment.

The position reports directly to the Dean. This position will be scheduled to work Monday through Friday 8 a.m.-4 : 30 p.m

    What you will be working on

  • Provides front-end customer service to students, faculty and staff in managing inquiries and communications to the division via phone, email, remote meetings and in-person interactions
  • Serves as primary contact for Emergency Medical Technician program prospective and current students; provides correspondence and distributes information relating to program activities
  • Provides assistance to Business Bachelor's programs in distribution of promotional materials and delivery of presentations relating to the programs
  • Creates and maintains records and files, including tenure meeting, technical advisory committee meeting and division meeting documents
  • Manages and creates content for Workforce Instruction division Canvas shell
  • Produces, manages and revises office / program forms and program informational materials (ex. websites and program planning guides)
  • Provides support on general division logistics such as key requests, room scheduling, maintenance requests and ordering of equipment and supplies
  • Assists with scheduling of meetings and appointment requests for the Dean of the division
  • Provides various forms of administrative support as time as needed, including but not limited to : data entry, filing, managing equipment and supplies, printing program planning guides, maintaining distribution and contact lists, etc. in service of programs and the division

    What you bring as a candidate :

  • High school diploma and two years of clerical experience, OR equivalent education / experience
  • Proficiency with office technology and tools, ex. Microsoft O365 suite, Adobe and Canva
  • Minimum of one year of experience working with supporting / assisting students, clients or customers in an educational or professional setting
  • Ability to work independently as well as on a team in managing projects and tasks
  • Ability to follow through with instructions and tasks and adhere to timelines
  • Strong organizational skills and time management in managing emails, documents, digital and physical files, projects and tasks
  • Strong communication skills, both oral and written
  • Ability to work effectively with and / or assist individuals from diverse backgrounds
