Job Description

A successful distributor are looking to hire an Executive Administrative Assistant. This individual will support the CEO.

  • Executive Support : Manage and maintain complex calendars, coordinate meetings, and handle logistics for travel arrangements, conferences, and events.
  • Communication Management : Act as a liaison between the executive and internal / external stakeholders; manage and draft correspondence, presentations, and reports.
  • Project Coordination : Assist with tracking key projects and initiatives, ensuring timely follow-ups and deliverables.
  • Document Management : Prepare, proofread, and edit sensitive documents with the utmost attention to detail.
  • Meeting Preparation : Coordinate agendas, take accurate meeting minutes, and ensure action items are followed up and completed.
  • Confidentiality : Handle confidential and sensitive information with integrity and discretion at all times.
  • Office Operations : Support office management tasks as needed, including vendor coordination, supply management, and special administrative projects.
  • Bachelor’s degree in Business Administration, Communications, or related field; advanced degree or certifications (e.g., CAP, PMP) a plus.
  • 5+ years of experience in an executive assistant or senior administrative support role, preferably in a fast-paced, high-growth environment.
  • Proven track record of managing multiple priorities with precision and grace under pressure.
  • Exceptional attention to detail and accuracy in all tasks.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Outstanding written and verbal communication skills.
  • Ability to anticipate needs, think critically, and offer solutions proactively.
  • Strong interpersonal skills and the ability to build trusted relationships at all levels of the organization.

Preferred Attributes

  • Experience working with C-level executives.
  • Familiarity with executive-level reporting tools and software.
  • High degree of emotional intelligence, adaptability, and resilience.
  • Demonstrated ability to handle changing priorities in a dynamic environment.
