ROLE SUMMARY
The Business Specialist is a frontline leader in ensuring every family who walks through UP Excellence Academys doors experiences excellence. This role owns campus enrollment and recruitment , serving as the primary driver of outreach, engagement, and registration. In addition, the Business Specialist plays a key part in school operations, supporting compliance, vendor payments, student information systems, event logistics, and data coordination. PRIMARY RESPONSIBILITIES
1. Lead Enrollment & Recruitment (30%)
- Drive the full enrollment lifecycle from interest to registration
- Serve as the primary contact for all prospective and returning families
- Conduct targeted outreach campaigns (calls, texts, in-person outreach, info nights)
- Monitor registration pipeline, follow up on incomplete applications, and report progress
- Collaborate with school leadership to hit weekly and monthly enrollment benchmarks
2. Maintain Accurate Student & Compliance Data (20%)
Ensure all enrolled students are coded correctly for PEIMS (SPED, EL, Economically Disadvantaged, etc.)Track required documents and ensure campus data remains audit-readyPartner with the PEIMS Coordinator to address compliance gaps proactively3. Manage Financial and Vendor Systems (15%)
Process accounts payable : code invoices, track payment status, and maintain organized recordsSupport monthly financial reconciliation with the Campus Operations Manager4. Coordinate Campus Events & Calendar Logistics (15%)
Plan and manage logistics for key events including orientations, academic nights, testing, and celebrationsCommunicate with vendors, maintain materials, and support setupEnsure families have timely information and a welcoming experience5. Report Card & Progress Report Coordination (10%)
Manage timelines, collect data from teachers, and ensure accurate uploadsCommunicate clearly with staff and families about grade-reporting cycles6. Support Compliance, NSLP & Daily Operations (10%)
Assist with NSLP meal tracking and submissionsProvide administrative support to the Principal and campus staffAnswer phones, triage needs, and maintain a high-functioning front officeQUALIFICATIONS
Required :
High school diploma or GED; Associates degree or higher preferredMinimum of 2 years of experience in school, nonprofit, or administrative operationsProficient in Microsoft Office and Google SuiteExcellent organizational, communication, and customer service skillsDemonstrated ability to manage projects and meet tight deadlinesPreferred :
Experience in a charter or public school settingKnowledge of PowerSchool, Ascender, or student data systemsUnderstanding of TEA compliance requirements (PEIMS, NSLP)Spanish-speaking a plusWHO YOU ARE
