General Definition of Work
Performs intermediate skilled administrative support works with processing purchase orders payroll and other financial data maintaining financial reports receiving processing and managing incoming and outgoing monies processing requisitions keeping accurate records of budget activity maintaining program records files and reports working with the director and staff to complete requests for information or correspondence taking and responding to inquiries and related work as apparent or assigned. Work is performed under the limited supervision of the Exceptional Children Director. Continuous oversight is exercised over Receptionist Administrative Assistant and Data Manager.
Qualification Requirements
Associates / Technical degree and considerable experience working in an office support role or equivalent combination of education and experience.
Knowledge Skills and Abilities
Thorough knowledge of standard office practices procedures equipment and secretarial techniques.
Thorough knowledge of school system business and accounting functions organization and policies.
Thorough knowledge of business English and spelling.
Ability to organize and perform work independently.
Ability to operate standard office equipment and related hardware and software.
Ability to learn specialized software and equipment related to business need.
Ability to establish and maintain effective working relationships with board members associates faculty staff and the general public.

Reports to
EC Director
Essential Functions
Processes purchase order for the department.
Requests payment for travel telephones printing and contracted services.
Reviews and processes staff development reimbursement requests; verifies documentation.
Submits payroll information for department personnel and contractors.
Works with the director and other staff on correspondence special requests contracts reports finances payroll approval or filling requests for information or reports.
Maintains student information records of testing.
Works with the staff psychologist to schedule students for testing.
Manages issues within the department related to equipment or materials.
Writes checks for student programs; maintains separate accounts for the program.
Prepares and maintains financial systems and records
Reconcile bank statements
General financial reports for multiple programs
Purchase and monitor department inventory
Process travel reimbursements
Create and manage transportation contracts and EC field trips including creating trips in the transportation software and managing the financial processes
Prepares for and assists with financial audits; Maintains internal audit policies and procedures
Receives and receipts funds
Posts receipts and disbursements to department fund accounts
Daily receipt of funds received
Performs related work as required.
Physical Requirements
This work requires the occasional exertion of up to 25 pounds of force.
Work regularly requires sitting speaking or hearing using hands to finger handle or feel and repetitive motions and occasionally requires standing walking stooping kneeling crouching or crawling reaching with hands and arms pushing or pulling and lifting.
Work has standard vision requirements.
Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
Hearing is required to perceive information at normal spoken word levels.
Work requires preparing and analyzing written or computer data operating machines and observing general surroundings and activities.
Work has no exposure to environmental conditions.
Work is generally in a moderately noisy location (e.g. business office light traffic).
