Position Summary

The Administrative Clerk provides critical support to warehouse operations by coordinating system receipts, outbound shipments, vendor documentation, and order fulfillment communications. This position works independently with minimal supervision, ensuring accurate data entry, inventory support, and compliance with both internal and regulatory processes. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment.

Key Responsibilities

Warehouse Administration & Coordination

  • Schedule and confirm inbound and outbound deliveries; maintain appointment logs and print purchase orders (POs).
  • Coordinate container dispatching and sign-in / out logs with transportation carriers.
  • Process CPFD RPQ bills of lading and enter data into DSS systems.

System Processing & Documentation

  • Receive inbound product into ERP systems (xTuple, DSS) and generate necessary shipment labels (license plates, serials, USDA / military tags).
  • Maintain USDA health certificates and EU export documentation, coordinate with inspectors and couriers.
  • Support shipping department with inspection paperwork, manifests, whiteboard management, and photo filing.
  • Inventory & Quality Support

  • Research inventory issues and process adjustments (e.g., returns, damaged cases, rendering area).
  • Manage sample and audit requests; support cycle counts and AIB audit preparation.
  • Coordinate pork certification with USDA inspectors.
  • Internal Collaboration

  • Respond to internal warehouse-related emails and requests with timely follow-through.
  • Collaborate with Accounts Payable, Quality Assurance, and Order Fulfillment teams as needed.
  • Assist the Director of Operations with tasks including weekly scorecard updates, temporary labor tracking, and supply procurement.
  • Requirements :

    Minimum Qualifications

  • High school diploma or GED required.
  • 3+ years of warehouse or logistics administration experience.
  • Proficiency with Microsoft Excel, Word, and Outlook.
  • Experience with ERP systems (e.g., xTuple) strongly preferred.
  • Ability to meet deadlines and manage multiple priorities in a collaborative setting.

  • Physical & Travel

  • Regularly sits, types, and uses a computer for extended periods.
  • Frequently stands, walks, reaches overhead, kneels, or lifts up to 10 lbs.
  • May be exposed to warehouse environments ranging from ambient temperatures to -10°ree;F.
  • Work Environment

    This position is primarily based in a climate-controlled office environment with moderate noise. Travel to vendor facilities may involve production floor settings.
