Founded in 1974, Community Access continues to uphold and operate as a pioneer of supportive housing and social services in NYC for people with mental health concerns. We proudly lead advocacy efforts that rally our community to promote human rights, social justice, and economic opportunities for all. We are built upon the simple truth that people are experts in their own lives. Our programs are spread across 25 locations and include over 1200 units of supportive housing in three boroughs, the Howie the Harp Advocacy Center, Peer-driven Crisis Respite Center, Adult Home Initiative, Assertive Community Treatment (ACT) and the Intensive Mobile Team (IMT).

Program / Department Description

The property management department acts as the managing agent for (1) buildings that Community Access (CA) owns or controls; (2) buildings for which CA has contracted to provide property management services; and (3) individual apartments in other buildings that are part of CA’s “scattered site” supportive housing programs. The property management department is responsible for lease maintenance, rent collection, property financial reports and compliance with government regulations (such as Low-Income Housing Tax Credits, HOME, and Housing Trust Fund).

Overview

The Operations Assistant for Community Access' Facilities Management department plays a crucial role in ensuring the smooth and efficient operation of our properties. This position is responsible for a variety of administrative and coordination tasks, directly supporting the maintenance and upkeep of our affordable housing units and facilities. The Operations Assistant will assist with the entire lifecycle of work orders, support superintendents with procurement needs, manage maintenance supply inventory, coordinate external vendors, track unit vacancies and turnover processes, and ensure adherence to purchasing policies for all property-related expenses. Success in this role will be measured by specific key performance indicators related to efficiency, accuracy, and timeliness in these areas. This role requires excellent organizational skills, attention to detail, and a commitment to supporting the mission of Community Access.

Job Qualifications

  • A commitment to the mission and values of Community Access and a dedication to supporting individuals living with mental health concerns.
  • High school diploma or equivalent required; associate's degree or relevant certification is a plus.
  • Proven experience (1-3 years) in an administrative, clerical, or coordination role, preferably within a facilities management, maintenance, or property management environment.
  • Strong understanding of work order processes, unit turnover procedures, and purchase order systems.
  • Experience with ordering supplies and managing inventory.
  • Familiarity with coordinating vendor services and ensuring compliance with policies.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Yardi or similar property management / maintenance databases.
  • Excellent organizational and time-management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to work independently with minimal supervision and as part of a team.

  • Integrity and discretion in handling confidential information.
  • Bilingual Spanish-speaking, preferred.
