Work Schedule :
Monday / Tuesday - 10 : 30-7pm
Wednesday / Thursday - 9-5 : 30pm
Friday - 8-4pm
Highly organized detail-oriented and compassionate individual responsible for providing excellent internal and external customer service managing administrative tasks and ensuring the smooth operation of our front office.
Responsibilities : Essential Functions
Client / Customer Reception and Care (25%)
Greet and check in / out clients to include verifying insurance information and collecting copayments as applicable.
Answer and direct phone calls email requests and website submissions
Assist clients / customers with questions and concerns providing information and guidance.
Assist clients in emotional crisis and forward them to an available therapist
Client Registration (25%)
Process client registrations in electronic medical record system (EAP Expert).
Gather missing information and make corrections / updates as needed
Scheduling (25%)
Schedule and confirm appointments ensuring optimal patient flow
Identify location of client appropriate provider and preferred service platform to meet client needs and remain compliant with state laws
Facilitate the authorization process for clients outside of Omaha metro area
Schedule training programs meetings equipment conference rooms
Assist staff with scheduling as needed
Misc. Administrative Tasks (20%)
Maintain accurate and up-to-date client records
Monitor and distribute client registrations inquiries and sales opportunities that are submitted through the website
Process client payments through HealthPay 24
Manage the preparation and distribution of required operational reports
Other duties as assigned (5%)
