Administrative Assistant Role :
The Administrative Assistant plays a key role in ensuring smooth day-to-day operations in the office and warehouse. Youâll take on a variety of administrative, shipping / receiving, and support tasks to keep things running efficiently. This is a highly visible, hands-on position ideal for someone who is organized, resourceful, and proactive.
Invoice customers and follow up on overdue accounts using QuickBooks
Generate monthly reports for past due invoices
Create purchase orders and schedule receipt of incoming goods
Coordinate and physically receive incoming freight deliveries
Reach out to vendors, gather quotes, and present options to leadership
Package and ship outbound shipments
Schedule and coordinate maintenance and improvement visits
Scan and store internal and customer documentation
Purchase office supplies and track inventory
Pick up necessary items locally as needed
Answer phones, direct calls, and relay messages professionally
Provide general administrative support across departments as needed
Administrative Assistant Background Profile :
2+ years of experience in an administrative, operations, or office support role
High school diploma or GED required; associate degree or higher preferred
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Experience using QuickBooks for invoicing and reporting
Strong organizational, multitasking, and time-management skills
Excellent written and verbal communication
Experience with invoicing or accounting software a plus
