Position Summary :

The Security Scheduler is responsible for creating, maintaining, and optimizing staff schedules for all security personnel across multiple client sites. This role requires excellent communication skills, strong leadership, and the ability to work under pressure in a fast-paced, service-driven environment. You will work closely with site supervisors, HR, and operations leadership to ensure appropriate staffing levels and seamless shift coverage.

In addition to scheduling responsibilities, the Security Scheduler will also be responsible for managing a work order system . This includes regularly checking for new work orders, ensuring they are properly assigned, and maintaining constant communication throughout the process . The Scheduler will gather documentation, coordinate with other departments, verify completion, and upload all final documentation back into the system to close out the work order.

Key Responsibilities :

  • Develop and manage daily, weekly, and monthly security guard schedules across multiple locations
  • Maintain real-time awareness of staffing levels, coverage needs, and any schedule deviations
  • Serve as primary point of contact for scheduling inquiries, shift swaps, and call-offs
  • Coordinate with recruiting and HR to ensure pipeline staffing aligns with scheduling demands
  • Track attendance, tardiness, and ensure timekeeping accuracy for payroll and compliance
  • Maintain scheduling software / tools and optimize workforce allocation
  • Provide reports to management regarding staffing efficiency, overtime, and scheduling gaps
  • Identify and resolve scheduling conflicts proactively and with urgency
  • Maintain compliance with labor laws, union rules (if applicable), and company policies
  • Regularly monitor the work order system for incoming assignments
  • Ensure all work orders are properly assigned, tracked, and communicated throughout the process
  • Collect and disseminate documentation across departments to confirm completion of work orders
  • Upload final documentation into the work order system to officially close out assignments

Qualifications :

  • Proven experience in security, staffing, or operations scheduling (3+ years preferred)
  • Proficient in workforce scheduling platforms (, Trackforce, Winteam, or similar)
  • Experience with work order systems and documentation management strongly preferred
  • Exceptional organizational and time-management skills
  • Strong interpersonal and communication skills (verbal and written)
  • Ability to remain calm under pressure and resolve conflicts quickly
  • High attention to detail and commitment to accuracy
  • Flexibility to be on-call or respond to urgent scheduling needs as required
  • Preferred Qualifications :

  • Experience in the security services industry
  • Experience with Payroll Systems
  • Prior supervisory experience
