Administrative Assistant
The Utah Division of Arts & Museums (UA&M) seeks an Administrative Assistant to provide support to UA&M administration and staff in encouraging a vibrant and culturally engaged state by inspiring and connecting people and communities through Utah's arts and museums. The position is full-time, benefited, with typical work hours M-F, 9-5, and requires residency in Utah and work at the Salt Lake City office.
Principal Duties
- Triage administration phone calls, mail, and email
- Provide courteous and helpful customer service to constituents and partners
- Draft correspondence, reports, documents, and other written materials
- Assist with event planning and implementation
- Manage UA&M office equipment, supplies, surplus, and office space
- Maintain UA&M digital calendars, staff lists, schedules, agendas, and minutes
- Schedule and / or coordinate appointments, meetings, facilities, meals, etc.
- Coordinate administration appointments and travel arrangements
- Perform basic accounting duties to include supply or equipment expenditures and tracking of inventory
- Manage and maintain UA&M fleet vehicles
- Serve as UA&M coordinator for Cultural Advocacy Day
- Maintain confidentiality in all aspects of the job
- Other duties as assigned

Strong organizational skills, including the ability to plan and prioritize workload to accomplish tasks and meet deadlinesProven experience as an administrative assistant or in a similar roleDemonstrated initiative and problem-solving skillsExcellent interpersonal skills, specifically the ability to work with people in a courteous and professional mannerDetail-oriented; skill and ability to gather, organize and / or maintain dataExcellent written and oral communication skillsExcellent time management skillsDemonstrated ability in arranging, scheduling, and coordinatingExperience with event planningIntermediate to advanced skills in Google Suite, Adobe, and Microsoft OfficeAbout Us
