Position Description :

We are seeking a highly organized and proactive Executive Assistant to act as support to our executive leadership team in a high-energy environment. This role plays a key part in ensuring the efficiency and coordination of daily executive operations, providing seamless administrative and logistical support across departments.

The ideal candidate will have at least 2 years of experience as an executive assistant, with a proven ability to manage shifting priorities, coordinate travel and meetings, and collaborate with internal stakeholders and other executive assistants. This is a full-time, onsite role, requiring presence in the office up to 5 days per week, especially during leadership meetings or executive site visits.

General Duties and Responsibilities :

  • Provide high-level administrative support to members of the executive leadership team.
  • Manage complex calendars, schedule meetings, and coordinate both domestic and international travel arrangements.
  • Prepare, proofread, and edit correspondence, presentations, and confidential documents.
  • Coordinate logistics and hospitality for onsite leadership meetings, including ordering meals, reserving space, and supporting visiting executives.
  • Collaborate closely with other Executive Assistants to align schedules, planning, and communication.
  • Maintain executive files, reports, and documentation with accuracy and discretion.
  • Track and follow up on action items and deliverables to support strategic initiatives.
  • Coordinate customer meetings and engage with internal / external stakeholders on behalf of the executive team to ensure timely communication, coordination, and follow-through.
  • Provide administrative support across global time zones working with leaders across China, Europe, and Africa.

Required Knowledge, Skills and abilities :

  • At least 2 years of experience as an executive assistant, preferably in a corporate or operations-focused environment.
  • Proficient in Microsoft Office Suite applications, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Highly organized with the ability to manage multiple priorities in a fast-paced setting.
  • Professional, discreet, and capable of handling sensitive information with sound judgment.
  • Comfortable working onsite and supporting executives face-to-face.
  • Ability to coordinate effectively across multiple time zones and support global teams.
  • Preferred Knowledge, Skills and Abilities :

  • Experience supporting multiple executives simultaneously.
  • Familiarity with manufacturing, operations, or supply chain environments.
  • Associate or bachelor’s degree in business administration or related field.

    Physical Job Requirements :

    This position is primarily performed in an office or hybrid environment and involves long periods of computer use and seated work. The role requires the ability to maintain a consistent workstation posture and perform repetitive activities such as typing, reviewing data, and participating in virtual or in-person meetings. Mobility within the workplace (e.g., between offices, meeting rooms, or operational areas) is required to fulfill essential job functions. The role also requires sufficient visual acuity to read detailed reports, system dashboards, spreadsheets, and electronic communications. This role does not involve physical labor, however there may be occasional movement throughout facilities or travel that requires moderate physical stamina.
