We are seeking an experienced, highly organized, and forward-thinking Executive Administrative Assistant to support both the Southern California corporate / field office and the company's Executive Leadership Team, including the CEO. This role is a trusted partner to top decision-makers, providing the administrative backbone that enables leaders to focus on strategy and growth. You will work side by side with the leadership and executive team, gaining insight into company priorities and helping shape how leadership initiatives are executed. The ideal candidate is a polished professional who thrives in a dynamic environment, handles sensitive matters with discretion, and enjoys being a central connection point across the organization.
Duties & Responsibilities :
- Executive Partnership : Serve as a assistant to leadership and Executive Leadership Team by anticipating needs, solving problems proactively, and ensuring leaders are fully prepared for meetings, presentations, and strategic conversations.
- High-Level Calendar & Prioritization Management : Own complex executive schedules, manage shifting priorities, and serve as gatekeeper to maximize the productivity and impact of leadership time.
- Meeting & Strategy Support : Coordinate and prepare materials for board meetings, executive reviews, and strategic planning sessions. Compile and synthesize information from multiple sources into clear, actionable briefing materials. Record key decisions and follow up on next steps to drive execution.
- Executive Communications : Draft and edit high-level correspondence, presentations, and announcements for the CEO and senior leaders. Ensure messaging reflects the company's voice and supports strategic initiatives.
- Leadership Event Planning : Coordinate leadership offsites, all-hands meetings, and company-wide events. Manage logistics, prepare content, and ensure a seamless experience for senior stakeholders.
- Office & Team Operations : Oversee day-to-day office needs in the Southern California headquarters, ensuring an efficient and professional environment for both local employees and visiting executives.
- Travel & Expense Coordination : Arrange complex travel for executives, balancing cost, convenience, and schedule demands. Manage expense reports and reconcile costs with attention to detail and timeliness.
- Relationship Management : Act as a liaison between the executive team and employees, partners, and external stakeholders. Build trust and maintain strong relationships while protecting leadership time.
- Confidential Records & Information Management : Handle sensitive and proprietary information with absolute discretion while maintaining highly organized electronic and physical filing systems.
- Cross-Functional Collaboration : Partner closely with HR, Operations, Marketing, and other departments to support major initiatives, assist with onboarding senior hires, and ensure smooth execution of company priorities.
- Process & Efficiency Improvements : Identify administrative and operational inefficiencies; recommend and implement process improvements that empower leadership and enhance organizational productivity.

Skills & Knowledge
Strong organizational skills requiredDetail orientation and ability to adeptly use MS Office software7+ years of administrative or executive assistant experience , including direct support of senior or C-level executives.Demonstrated ability to partner with and influence top executives while maintaining professionalism and discretion.Excellent written and verbal communication skills with the ability to adapt style for executive audiences.Exceptional organizational and time-management abilities, with a proven track record of managing competing priorities in fast-paced settings.Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and the ability to quickly learn other business systems and tools.Professional demeanor with strong interpersonal skills to build trust and communicate effectively across all levels of the organization.Requirements
