The Role
As a Bilingual Patient Intake Coordinator, you'll be one of the first points of contact for new families starting their care journey. You’ll help them understand next steps, gather required documentation, and ensure everything is submitted properly to keep the process moving forward. You'll also coordinate with internal teams so assessments and authorizations happen on time.
This is a detail-driven role with heart—you’ll be the calm, reassuring voice helping families navigate the start of care. For someone who’s bilingual in Spanish, highly organized, and passionate about helping others, this is a perfect fit with room to grow.
What You’ll Do
Guide Spanish- and English-speaking families through the intake process from first call to start of services
Send and track intake packets, follow up on missing documents, and ensure paperwork is complete
Check insurance eligibility and coordinate internal steps for BCBA assessments
Submit and track assessment authorizations with insurers and clinical teams
Communicate with families regularly to provide updates and support during onboarding
Troubleshoot delays and escalate issues when needed to keep the intake pipeline moving
What We’re Looking For
Spanish bilingual (required)
Prior experience in intake coordination, patient services, or healthcare administration (ABA experience a plus)
Strong communicator who’s confident on phone, email, and text
Detail-oriented and able to track multiple cases at once without letting anything slip
Calm, compassionate, and solutions-focused in fast-paced situations
