Position Description
The Administrative Specialist is responsible for most of the communication within the congregation, maintaining the membership data base, general accounting, and general office work.
Qualifications
- Must be a mature Christian with a genuine commitment to Christ and His Church.
- Must be in basic agreement with the beliefs and doctrinal statements of the CRC.
- Must have effective interpersonal relationship and communication skills.
- Must be a ‘team player’ and work effectively with other staff members.
- Must have good organizational skills.
- Must have a good aptitude for computers. Experience in the use of certain computer programs used by our church such as PowerPoint, Easy Worship, and Power Church Plus would be helpful.
- Must be able to perform basic bookkeeping work with our accounting firm.
Communication Responsibilities
Gather information, announcements, schedules etc to include in a weekly communication. Edit and distribute each via email by 3pm on Friday. Print and distribute hard copiesWork with the Worship Director to prepare and print the order of worship for all services.Create CD Recordings of services and make copies for those that request it.Assist the Elders and Deacons with typing / printing and distributing materials as requestedHelp to maintain the website as needed, including uploading the Spotlight each week and maintaining the calendar of events.Mail Bulletins & Spotlight to shut-ins and vacationers as requestedWork with those who wish to rent the church to gather all necessary information and rental payments and communicate with the custodial staff what is needed for events.Membership Data Base Responsibilities
Record offering details received from deaconsMaintain household and family dataGeneral Accounting Responsibilities
Post offering detailProcess payroll bi-weeklyProcess payables timelyReconcile accounts each month and email General Ledger and bank statements to Fin. Comm.Collect W9 forms, issue W2s, and 9sGeneral Office Responsibilities
Distribute mailOrder supplies paper, ink, copier supplies, & misc. office suppliesMaintain machinesReporting and Compensation
The Administrative Assistant shall be accountable to and will be evaluated by the Executive CommitteeHours and summary of work must be turned in biweeklyWeek to week supervision carried out by the Senior PastorThe Administrative Assistant is expected to work approximately hours per weekWorkdays and hours are flexible but should ordinarily be consistent. A vacation policy is negotiated with the Administrative Committee (see current policy).
