Job Insight
The Contract Coordinator supports the Procurement Analyst by maintaining contract records, monitoring contract activity, and ensuring accurate documentation throughout the contract lifecycle. This role is responsible for updating the Contracts Module system, organizing all contract files, and tracking upcoming expirations.
Key Responsibilities :
- Maintain and update the Contracts Module with new agreements, amendments, and supporting documents.
- Ensure consistent naming conventions and organized contract filing.
- Track contract expirations, renewals, and workflow stages.
- Prepare and submit contract intake packages to OGC and track review progress.
- Maintain the OGC Tracker Status Report to support timely approvals.
- Build and manage advanced Excel trackers for contract status, vendor data, expirations, and workflow activities.
- Use Excel functions such as formulas, XLOOKUP / VLOOKUP, pivot tables, filters, and conditional formatting to extract, clean, and analyze data.
- Prepare weekly, monthly, and ad-hoc reports.
- Draft correspondence and support contract closeout and archiving activities.
- Assist with general administrative and documentation tasks as assigned.
Requirements :
Strong proficiency in Excel (XLOOKUP / VLOOKUP, Pivot Tables, formulas, filters, conditional formatting).Experience with contract coordination, procurement support, or a similar administrative role preferred.Strong attention to detail and organizational skills.Ability to manage multiple tasks and deadlines.
