Event Project Manager
This position is considered office-first. An office-first employee can flex between in-office work and working from home based on personal or professional need, at the discretion of their supervisor. An office-first employee maintains an office presence at least three days per week at their designated Scooter's Coffee office location. Scooter's Coffee is headquartered in Omaha, NE. The successful candidate lives in Omaha, NE. Relocation is not available for this role.
The event project manager is responsible for coordinating and executing large-scale events such as our annual franchise conference event, as well as planning internal office engagement initiatives, holiday celebrations, and supporting broader HR and administrative functions. The ideal candidate is creative, detail-oriented, and passionate about creating memorable experiences that align with our company culture.
Essential Duties And Responsibilities
- Lead the planning and execution of a large-scale, annual franchise conference with around 2,000 attendees; including vendor management, logistics and day-of coordination
- Coordinate, support and negotiate sponsorships for franchise conference
- Manage event timelines, budgets, and contracts, ensuring all deliverables are on schedule and within scope
- Coordinate cross-functional teams and collaborate with internal stakeholders to align event goals with company objectives
- Oversee post-event evaluation and reporting to continuously improve future events
- Plan and coordinate engaging in-office events such as team-building activities, themed celebrations, staff appreciation days, and cultural observances
- Organize and manage all internal company engagement activities and events
- Promote a positive work culture by designing and implementing events that align with company values and employee interests
- Provide administrative support to the Office Administration and Human Resources departments as needed
- Assist with company-wide communications related to events and initiatives
- Contribute to employee experience efforts by gathering feedback and helping develop new engagement strategies
- Maintain event calendars, internal tracking systems and related documentation
- Other duties as assigned
Qualifications
