Position Summary
We're seeking an organized, proactive Office Manager to be the backbone of our administrative operations. This person will ensure the office runs smoothly, help keep things on track, and support accounting and project teams. If you have experience in AIA billing and a strong sense for detail, you might be exactly who we need.
Key Responsibilities of the Office Manager Role :
Answer and direct incoming calls; field general office inquiries
Order and manage office supplies; ensure inventory is appropriate and maintained
The Office Manager will greet visitors and coordinate with staff to support daily operations
Handle AIA billing (preparing, submitting, and tracking)
Maintain vendor relationships for supplies and services
The Office Manager will support bookkeeping tasks using QuickBooks or similar software
Coordinate meetings, travel, and appointments for management as needed
Prepare and distribute reports, expense tracking, and other financial documents
Provide administrative support to project managers and field staff
Requirements of the Office Manager Role :
Proven experience as an Office Manager or in a similar administrative role
Hands-on experience with AIA billing preferred
Familiarity with QuickBooks (or equivalent accounting software)
Strong organizational and communication skills
Detail-oriented with the ability to multitask and prioritize
Professional demeanor and ability to work independently and as part of a small team
