Events Coordinator

RKD Group is seeking an organized, detail-oriented Events Coordinator to support the planning and execution of internal and external events that represent our brand, foster engagement, and drive business impact. Based in Dallas, TX, this position will play a critical role in coordinating all logistical aspects of events, from scouting locations and booking venues to managing food, beverage, branded swag, and industry conference presence.
Key responsibilities :
Event Planning & Logistics
- Research, evaluate, and recommend venues in alignment with event goals and audience needs
- Coordinate event logistics including venue booking, A / V needs, catering, room setup, and vendor communications
- Maintain a master calendar of upcoming events, conferences, and key deadlines
- Create the event marketing plan and materials, including drafting content for event landing pages, invitations, onsite materials in coordination with client service teams
Conference & Trade Show Support
Coordinate company exhibiting at industry conferences and trade showsHandle booth logistics including space reservations, shipping, signage, lead-capture tools, and on-site setupPartner with internal stakeholders to align goals, talking points, and attendee strategyTrack registration deadlines, manage exhibitor communications, and support pre / post-event promotionSwag & Materials Management
Source, order, and manage inventory of promotional items and branded swagCoordinate shipping and delivery of swag and printed materials to event sitesTrack swag usage and budget, and ensure brand consistency across all materialsVendor & Budget Coordination
Request and compare vendor quotes to ensure cost-effective, high-quality solutionsTrack event budgets, payments, and contractsBuild and maintain strong vendor relationships (A / V, catering, venues, etc.)Internal Collaboration & Communication
Partner with internal teams to gather event goals, presentation materials, and attendee listsSupport company meetings, team offsites, and culture-building eventsProvide on-site support for Dallas-area events and occasional travel for conferences and trade showsQualifications & Skills :
1–3 years of experience in event planning, hospitality, marketing, or related fieldStrong organizational and multitasking skills with excellent attention to detailExperience coordinating corporate or industry conference presence a plusExcellent communication, vendor management, and negotiation skillsComfortable with tight deadlines, shifting priorities, and fast-paced environmentsProficiency with Microsoft Office; event or CRM tools a plusAbility to lift up to 25 lbs (for booth materials, swag setup, etc.)Preferred Qualifications :
Familiarity with corporate swag sourcing and fulfillment logisticsBasic understanding of budgeting and vendor contractsPrior experience supporting B2B conferences or nonprofit industry eventsLocation : Dallas
Pay Range expected for the position : $50,000 - $60,000 annually.
The position level and compensation for this role will be determined based on the market location, experience, job skills, and qualifications of the candidate.
