Executive Assistant

This role partners directly with the President and senior leadership, giving you an inside seat to strategic decision-making while letting you own high-impact projects from start to finish.

Focus :

  • Executive support -Manage the President’s calendar, prioritize meetings, coordinate complex domestic travel, and prepare briefing materials that keep leadership one step ahead.
  • Program & project coordination -Create simple timelines and task trackers, monitor milestones, and circulate status updates so cross-functional teams stay aligned.
  • Event logistics -Plan leadership off-sites, staff celebrations, and large-scale volunteer events, negotiating with venues and vendors to meet quality, budget, and timeline goals.
  • Community & gifting initiatives -Oversee annual gift drives that serve hundreds of children and employees, from inventory tracking to beautifully packaged final deliveries.
  • Data & reporting -Compile metrics, budgets, and presentation decks that turn raw numbers into clear stories for executive audiences.
  • Stakeholder liaison -Field routine and escalated inquiries, draft polished correspondence, and nurture positive relationships with board members, volunteers, and community partners.
  • Process excellence -Maintain shared files, SOPs, and vendor lists; identify workflow gaps and recommend time-saving solutions.
  • Skill Set :

  • Bachelor’s degree or equivalent combination of education and experience.
  • 4+ years providing senior-level administrative support in a fast-moving environment.
  • 2+ years coordinating programs, events, or projects with multiple stakeholders.
  • Expertise juggling shifting priorities, tight deadlines, and confidential information.
  • Advanced proficiency with calendar / email platforms, spreadsheets, and presentation tools; comfort learning new software quickly.
  • Strong written and verbal communication skills and the natural ability to build rapport at all levels.
  • A proactive, service-minded approach and enthusiasm for mission-driven work.
