How will this role impact First Command?

The Content & Forms Specialist is responsible for the creation, management, and maintenance of corporate content and forms across multiple platforms. This role combines technical expertise with content governance to ensure First Command’s documentation—including business forms, policies, and procedures—is accurate, accessible, and aligned with regulatory and operational standards. The Specialist works across tools including MadCap Flare, Adobe Acrobat (with JavaScript), SharePoint, and LaserApp to deliver consistent and compliant content that supports field and corporate operations.

What will the employee do in this role?

Form Design & Automation

  • Develop and maintain interactive PDF forms using Adobe Acrobat , including advanced JavaScript scripting for field logic, validation, and automation.
  • Oversee form creation, formatting, and version control across platforms.
  • Administer and update LaserApp forms , ensuring alignment with Forms Online and usability standards.
  • Coordinate with business units to validate form requirements, instructions, and metadata.

Forms Online & Publishing Operations

  • Manage, publish, and maintain structured content using MadCap Flare , ensuring consistency in voice, format, and navigation.
  • Own weekly updates to Forms Online , ensuring timely publication, archival, and compliance with IT and regulatory policies.
  • Collaborate with Publications, Compliance, and business form owners to manage approval workflows and publishing readiness.
  • Enforce and support company-wide formatting and accessibility standards for all digital forms.
  • Policy and Procedure Library

  • Publish and maintain company documentation such as SOPs, HOIs, and Business Policies using approved templates and document management systems.
  • Ensure accuracy, version tracking, and consistency of content across all procedural documents.
  • First Reference / SharePoint Administration

  • Maintain SharePoint libraries used for collaboration, draft content, and final publications.
  • Manage access permissions, metadata tagging, and document lifecycle rules.
  • Coordinate with IT teams to improve document workflows and folder structures.
  • Compliance Content Support

  • Partner with Compliance Operations to publish and maintain the Compliance Manual , Written Supervisory Procedures , and other regulated materials.
  • Ensure documentation meets publishing, retention, and formatting standards.
  • Advisor Recognition Support

  • Coordinate fulfillment of advisor and district advisor service awards, including pins and recognition gifts.
  • Maintain inventory records and shipping logistics in support of program timelines.
  • What skills & qualifications do you need?

    Education

  • Bachelor’s degree in Communications, Technical Writing, Information Design, or related field preferred.
  • Work Experience

  • 3–5 years of relevant experience in content management, technical documentation, or form administration required.
  • A combination of education and experience may be considered
  • Experience in a regulated or financial services environment preferred.
  • Required Knowledge, Skills and Abilities

  • Proficiency in MadCap Flare for topic-based authoring and multi-channel publishing.
  • Advanced experience with Adobe Acrobat Pro, including scripting with JavaScript for dynamic form behavior.
  • Strong working knowledge of SharePoint (libraries, permissions, and metadata management).
  • Experience with LaserApp form administration and form lifecycle coordination.
  • Strong skills in Microsoft Word, Excel, and general content formatting.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks independently with attention to detail and accuracy.
  • Familiarity with HTML, CSS, XML is a plus.
  • Knowledge of document retention, regulatory publishing standards, and branding requirements.
