Position Overview

Joliet Treatment Center is looking for a detail-oriented and self-motivated Office Coordinator to work in the Records Office. The person selected for this position will perform technical office support and clerical functions including calculating time in the Offender 360 (O360) system, responding to inquiries, processing, maintaining and auditing master file records, and processing disciplinary reports and actions. Essential Functions

  • Performs technical office support functions in the Record Office.
  • Regulates, monitors, and processes information in Offender 360 (O360) system, including but not limited to time awards, time revocations, projected release dates, and mandatory release dates and movement.
  • Responds to inquiries and requests from judges, attorneys, and the Prisoner Review Board (PRB).
  • Performs intake processing, ongoing maintenance, and periodic audits of individual in custody master file records to ensure accuracy and compliance.
  • Processes disciplinary reports and records disciplinary actions in Offender 360 (O360) and on the physical card in the master file.
  • Performs Clerical Duties for the Record Office.
  • Performs other duties as required or assigned which are reasonably within the scope of those enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial / business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.
  • Requires ability to keyboard accurately at 30 Words Per Minute.
  • Preferred Qualifications

  • Prefers at least two (2) years of experience working in a corrections Records Office or similar type of work environment.
  • Prefers at least two (2) years of experience performing basic business mathematics.
  • Prefers at least two (2) years of experience utilizing word processing software such as Microsoft Excel and Word or similar software.
  • Prefers at least one (1) year of experience working with legal terminology.
  • Prefers at least one (1) year of experience keyboarding and maintaining reports.
  • Prefers at least one (1) year of experience proofreading and ensuring documents are correct.
  • Prefers at least one (1) year of experience preparing and maintaining confidential files.
  • Conditions of Employment

  • Requires ability to pass the IDOC / IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
