Office Administrator duties and responsibilities include providing administrative support to ensure efficient operation of the office. The Office Administrator will support managers and employees through a variety of tasks related to organization and communication.

Duties / Responsibilities :

  • General data entry in ERP system.
  • Receives and handles requests from customers and distributors for price quotes, purchase orders, order adjustments, and order cancellations.
  • Maintain training & support calendar.
  • Order office supplies, drinks, snacks and restock daily.
  • Builds rapport with customers and works to ensure they receive excellent customer service.
  • Put together "swag bags"
  • Welcome guests
  • Ensure office / conference room areas are well kept.
  • Provides pricing, delivery, and other order information to customers.
  • Handle a high volume of inbound and outbound calls for new orders to confirm information to process orders.
  • Uses computer database (WMS) to retrieve necessary customer information, inventory information, and purchase order status.
  • Drafts purchase orders and invoices to submit to both vendors and the accounting department.
  • Maintains files of active orders and updates with changes to customer accounts or orders.
  • Schedule and coordinate facilities maintenance items as requested.
  • Performs other related duties, as assigned.

Requirements :

  • One year of experience in customer service or order processing is required.
  • Data entry experience a plus.
  • Proficient in MS Office. Willingness to learn database and ordering systems. Salesforce and / or Spectrum knowledge preferred.
