The Associate Director of Operations and Finance provides budget oversight, financial analysis and operations support to the Senior Executive Director of Operations and Finance. The Associate Director is responsible for ensuring the financial accuracy of charges and credits related to Law School funds. They are responsible for annual budget forecasting and plans for Law School departmental and program funds. They will oversee the Law School Facilities Manager who manages the physical plant of two on-campus buildings and five satellite offices. The Associate Director is responsible for managing the faculty appointments process, working closely with the Office of the Provost, and approves all University credit card monthly statement reports and expense reimbursement reports.
Specific job responsibilities include :
Fund Financial Management. Using sound accounting practices, oversee designated unrestricted and restricted funds managed by the Law School, including grant funds and student organization funds. Ensure compliance with all fund restrictions and University and Law School policies on the appropriate use of University funds. Work with fund budget owners to craft an annual budget, creating separate budget and forecast reports by budget owner. Complete monthly reconciliation of charges to designated funds to ensure accuracy and compliance with all University and accounting policies, including encumbrances review, proper use of fund, account, and activity code, and correcting mischarges via journal entry. Assist the Faculty Administrative Supervisor with management of Conference and Research Expense (CARE) funds and Faculty discretionary funds provided by the Associate Dean for Academic Affairs and Faculty Development. Facility Management . Responsible for the oversight of the Facilities Administrator. Makes decisions of appropriate use of space and is responsible for following University and Law School protocols. Elevate issues as needed to the Executive Director, with the expectation that the Director will endeavor to identify issues, gathers facts and resolves operation problems. (Percent of time : 25)
Travel and expense policy compliance . Serve as the Senior Executive Director's delegate to approve all expense reimbursements and monthly credit card statement reports. Ensures compliance with University and Law School policies, educates and assists all expense delegates in the required documentation and expense policies. (Percent of time : 20)
Reporting and analytics . Maintain forecast in the University's budget and planning tool, currently Financial Compass. Generate financial analysis and business metrics for budgeting, planning and forecasting for Law School funds to assist the Senior Executive Director and Dean in making sound financial decisions. (Percent of time : 10)
Faculty appointments process . Manage the faculty appointments process for new and visiting faculty, coordinating with the International Visitors and Initiatives Program Manager. Process all Fall and Spring Adjunct letters with the assistance of administrative help as assigned. Process all faculty jobs associated with appointments and summer research stipends. (Percent of time : 10)
