Key Duties
Accounts Receivable (AR) :
Produce and dispatch customer invoices promptlyDocument and monitor incoming paymentsFollow up on overdue accounts and address billing concernsMaintain precise AR records and perform account reconciliationsAccounts Payable (AP) :
Process vendor invoices and expense claimsGuarantee timely and accurate bill paymentsReconcile accounts payable transactionsCoordinate with purchasing and suppliers to resolve discrepanciesShipments & Logistics :
Organize outgoing shipments with carriers and freight servicesPrepare packing slips, bills of lading, and associated documentationMonitor shipments and provide status updates to clientsCollaborate with production to ensure prompt order fulfillmentCustomer Service & Office Support :
Act as a primary point of contact for customer inquiriesProvide updates on order statuses and swiftly resolve issuesAnswer phone calls and route communications to the appropriate departmentAssist with general office tasks, including filing, records management, and managing office suppliesRequirements
Proven experience in office administration, accounting support, or customer service rolesFamiliarity with AR / AP processes and basic accounting principlesStrong organizational and multitasking skills with keen attention to detailProficiency in Microsoft Office (Excel, Word, Outlook) and comfort with ERP / accounting softwareExcellent written and verbal communication skillsAbility to work independently and manage priorities in a fast-paced environmentHigh School Diploma or Equivalent (Associate’s or higher a plus)Work Location : In person
