Join the Office of Early Childhood - EC Finance team, where you'll help ensure the operational and fiscal integrity of our statewide early learning initiatives. This critical position supports all work related to budgets, audits, and purchasing for the entire Office of Early Childhood. By leading procurement processes and developing internal administrative procedures, this role directly contributes to the effective and transparent delivery of services that impact thousands of families across the state.

Experience processing all procurement and purchasing transactions for a division in accordance with state procurement guidelines.
Skill in maintaining accurate tracking systems for procurement monitoring and completing monthly reconciliation.
Demonstrated ability to coordinate effectively with team members to gather information to complete purchase requests.
Expertise in comprehensive office management tasks, including inventory tracking , coordinating with IT for office equipment , and managing calendars / scheduling.
Someone who can thrive independently, developing new internal policies and procedures to improve workflow and establish procurement processes for a division.

Minimum Qualifications
Three years of experience in administrative services; OR
Six years of full-time work experience in any field; OR
A bachelor's degree.
EXPERIENCE SUBSTITUTION :
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information
Job Duties :
As an Administrative Program Specialist A you will perform responsible duties related to :
Process all procurement and purchasing transactions for the Division.
Provide all financial reports needed by the Early Childhood (EC) staff.
Acquire necessary signatures for reimbursements, invoices, and executive requisitions.
Assist with inventory tracking for the entire ECE team as well as order, stock, and manage office supplies.
Manage calendars, schedule meetings, and handle correspondence.
Assist with coordinating division events, conferences, and team meetings.
May serve as back-up for travel and / or time and attendance entry
Position-Specific Details :
Appointment Type : Probational, Promotional, or Job Appointment. The person hired for this position is expected to regularly report to the Baton Rouge office. Current permanent classified state employees may be required to accept a probationary appointment, if selected.
Career Progression : This position does not participates in a Career Progression Group.
Work Schedule : Work hours are Monday - Friday. Work hours will be determined.
Compensation : The salary offered will be determined based on qualifications and experience.
