The Operations Assistant will work directly with the Director of Outlets and the Director of Rooms to provide support in daily operations and administrative duties related with Rooms and F&B Division.
Salary range for this position (based on experience) : $25.00 / hour. Omni Interlocken reserves the right to pay more or less than listed compensation scale based on factors not related to sex or race. Responsibilities
Assistant to the Director of Food & Beverage and Director of Rooms while indirectly supporting entire Executive Committee operational needs.
Extensive administrative duties and responsibilities; communication and distribution of daily / weekly / monthly reports, handling confidential material and information
Manage day-to-day guest relations and corporate guest relations, all external guest correspondence and internal communications; including Daily Medallia Reports, ELMER, Guest Alerts, Trip Advisor reviews, Google Business reviews, and Expedia. Mapping out trends and patterns for related departments to focus their energy for improvements.
Maintain guest relations files and ensures that all information is included in file, i.e. guest correspondence, letters, fax, emails, information, guest folios, gift certificates, etc
Assisting with daily reservations requests for all F&B outlets
Assisting with private dining reservations and menu information (wine room, tower suite, MDR)
Coordinate F&B outlet MOS tracking needs
Manage F&B and Rooms Synergy requests by regularly communicating with Engineering and Maintenance departments
Back up support of Kronos and On Track systems.
Involved in associate events and activities' committees within the resort.
Entering special reservations into Opera related to comp room requests approved by Executive Committee
Maintaining notes and tracking log for resort wide property walks and updating timelines for project completion.
Managing and organizing calendar invites / reminders
Identifying key items in group resumes to alert operational departments
Perform other duties as assigned by management
Flexible schedule to include Monday - Friday, but periodic weekends as determined by business demands.
Qualifications
Customer Service, prior admin experience preferred. Proficient computer skills including knowledge of Microsoft Word, Excel, Delphi or similar programs. Excellent organizational skills. Clear, positive, energetic communication skills. Able to deliver and communicate to diverse crowd of associates. Excellent communication and literature skills. Must be able and willing to stand, sit and walk for 8-10 hours each shift.
