Graduate Medical Education (GME) Program Coordinator I
This role is a non-exempt full time day position, requiring availability to work in person at the Main Henry Ford Health hospital campus in Detroit, MI. This team member will serve in the capacity of float / compliance coordinator for the department and be responsible for training new hires and covering programs during transition periods.
Reporting to the Medical Education Manager, the Graduate Medical Education (GME) Program Coordinator I is responsible for facilitating educational project work by providing direction, leadership, and day-to-day management of the clinical medical education program and initiatives. Coordinates department projects, formulates needed enhancements for processes, and works with internal and external customers to successfully meet established goals and deadlines. Coordinator must demonstrate initiative, resourcefulness, and problem-solving skills in working independently to complete projects and assignments.
Principle duties and responsibilities include :
- Working in concert with leadership to determine the appropriate focus and direction of department initiatives and projects.
- Creating, designing, and managing project plans and timelines.
- Developing and implementing solutions to improve current processes and procedures related to project work.
- Performing administrative follow-up by keeping track of major projects and tasks assigned by departmental leadership.
- Creating and managing budgets related to department projects and initiatives and monitoring spending.
- Designing reports and distributing to appropriate parties.
- Serving as key contact between the department and other internal and external customers.
- Safeguarding and protecting confidential information.
- Coordinating all recruitment activities, gathering evaluations, and processing selection of new residents. Coordinating logistics and schedules.
- Coordinating and scheduling program orientation for incoming program and rotating residents in conjunction with the chief resident and / or Program Director to complement hospital and system orientation.
- Ensuring resident compliance with required institutional curriculum learning modules through scheduling.
- Understanding and monitoring compliance with the Accreditation Council for Graduate Medical Education (ACGME) institutional and program requirements; fostering awareness and compliance with accreditation requirements through dissemination to program leadership and residents. Maintaining current, highly organized documentation of compliance with accreditation guidelines.
- Using designated software to manage all evaluations, surveys, certifications, and exam results. Compiling and disseminating results as required.
- Maintaining effective communication with the medical students, residents, and fellows, appropriate to the situation; advising medical students and residents regarding requirements and deadlines; disseminating information regarding residency, fellowship, and career opportunities.
- Receiving and screening visitors, telephone calls, and e-mails; independently composing, preparing, and distributing correspondence, agendas, and reports; scheduling meetings; responding to information requests.
- Coordinating work (i.e., schedules, creates agendas, takes minutes, tracks action items) of program and alumni committees and maintaining minutes and appropriate records.
- Coordinating program events (e.g., luncheons, retreats, banquets, ceremonies).
Education / experience required :
Bachelor's degree in a related field, or the equivalent combination of education and / or experience.Experience in an educational or medical office / administrative / project management environment preferred.Previous Medical Education experience strongly preferred.Strong data collection and entry ability with attention to detail; requires high level of accuracy.Demonstrates knowledge and skills in Microsoft Office applications (i.e., Access, Excel, PowerPoint, and Word) and data management applications.Ability to create, prioritize, and execute multiple tasks and meet established timelines.Must have good interpersonal skills, customer service attributes and ability to communicate effectively with internal and external customers.Must demonstrate and use customer friendly demeanor / etiquette and culturally appropriate.Possess strong verbal communication skills in person and via telephone.Able to apply problem solving and critical thinking skills.Must possess strong organizational skills.Experience with data and budget management, event coordination, and scheduling preferred.Certifications / Licensures required :
