Title D-CPT-9873 HR & Recruitment Virtual Assistant

Independent Contractor [Business Support VA / Senior - Advanced Level] (Remote).

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

The HR & Recruitment Virtual Assistant will provide end-to-end support in the recruitment and onboarding process for a logistics company. This role focuses on sourcing and screening candidates, coordinating interviews, managing onboarding activities, and maintaining accurate HR records. The ideal candidate is detail-oriented, proactive, and experienced in handling high-volume recruitment while ensuring a smooth and positive experience for both candidates and new hires. The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Contractors will be required to provide services that align with the following client tasks :

  • Recruitment Assistance :
  • Post job openings on various recruitment platforms and social media channels.
  • Screen resumes and shortlist candidates based on hiring criteria agreed with manager.
  • Schedule and coordinate interviews with hiring managers and candidates.
  • Conduct initial candidate communications (e.g., acknowledgment emails, updates, interview reminders).
  • Maintain candidate records and recruitment tracking spreadsheets.
  • Assist in background checks, motor vehicle record checks, and drug test coordination.
  • Assist in the creation of company Gmail accounts.
  • Schedule onsite interviews using Calendly or the Indeed scheduler.
  • Onboarding :
  • Prepare and distribute onboarding materials and documentation.
  • Guide new hires through the onboarding process, ensuring all paperwork and compliance requirements are completed.
  • Coordinate start dates, training schedules, and equipment distribution.
  • Maintain employee onboarding records and update HR systems accordingly.
  • Support Day 1 orientation logistics and ensure a smooth new hire experience.
  • General HR Support :
  • Maintain accurate employee files and HR databases.
  • Assist in attendance tracking, PTO requests, and basic HR reporting.
  • Support employee engagement initiatives and assist in HR communications.
  • Help ensure compliance with company policies and DSP program requirements.
  • Provide general administrative support to the HR and Operations teams as needed.
  • Process I-9s to verify ability to work in the US.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

The Contractor must demonstrate proficiency in the following, depending on the Client's requirements :

  • Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
  • 12 years of HR or recruitment experience; exposure to logistics or delivery operations is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in Google Workspace or Microsoft Office (Docs, Sheets, Excel, Outlook).
  • Ability to handle confidential information with discretion.
  • Comfortable working in a fast-paced, high-volume environment.
  • Ideal Candidate Profile :

  • Friendly, approachable, and customer-service oriented.
  • Capable of juggling multiple priorities and deadlines.
  • Thrives in a team environment but can also work independently.
  • Work Schedule :

  • Contracted Hours per Week : 40 hours / week
  • Scheduled Working Days : Monday through Friday
  • Daily Working Time : 8AM - 5PM EST
  • Note : The Company will make reasonable efforts to align the Assigned VA's schedule with the Client's preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

    Terms of Engagement :

  • Contractors will operate under a Master Services Agreement and a Statement of Work.
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client.
  • All compensation is processed through 20four7VA according to the terms of the engagement.
