This Administrative Assistant position performs a full range of administrative duties primarily focusing on consistent office and phone coverage for the organization. The role is responsible for handling detailed project-oriented responsibilities and is accountable to the Director of Administration and Facilities for the timely execution of all tasks.

Compensation : Grade 5 : $18.64 to $23.30 per hour / non-exempt.
Primary work location - Onsite : This role requires the employee to work onsite at the LAPU Glendora CA office MondayFriday 8 : 00 AM 5 : 00 PM.
Required Experience / Education

- Education : High school diploma
- Experience : Minimum of two years of demonstrated experience in an administrative clerical or customer-facing support role.
- Communication : Proven ability to communicate effectively and accurately in both oral and written form including composing proofreading and editing professional correspondence.
- Customer Service : Proven ability to provide quality customer service and serve as a professional friendly and enthusiastic first point of contact for all internal and external constituencies. Must effectively handle inquiries and provide support for general outreach activities across hybrid (onsite and virtual) work settings.
- Technical Proficiency : High level of proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and Google Workspace (Docs Sheets Calendar Gmail). Must also be highly proficient in presentation and operation of Zoom and Google Meet as well as Canva . Comprehensive technical knowledge for general web browsing and email applications is essential.
- Organizational Skills : Exceptional organizational skills with the ability to manage multiple priorities schedule complex events and meet deadlines with a high degree of attention to detail.
- Proactivity : Ability to be proactive take ownership of assigned responsibilities and work effectively with minimal supervision.

Desired Experience / Education
Education : Bachelors degree or equivalent experience and education.Administrative Experience : Minimum of three years of demonstrated experience in an administrative office support or customer-facing support role.Industry Experience : At least one year of experience working in an institution of higher education.Process Improvement : Proven experience in designing and enhancing office procedures and systems to drive efficiency across hybrid (onsite and virtual) work settings.Executive Support Experience : Experience providing administrative support to senior-level staff or executives (e.g. Presidents Vice Presidents) including calendar management and project assistance.Essential Functions
Receptionist duties : answer all incoming calls with professionalism and enthusiasm; provide quality customer service by directing visitors as appropriate.Provide a friendly and professional office presence.Assist with opening the office / reception area and meeting rooms at the start of the workday and secure the office / reception area and meeting rooms at the close of each day.Respond to messages and emails appropriately and in a timely manner.Assist with the handling of incoming and outgoing mail receive and ship packages as appropriate.Interface professionally with all internal and external constituencies and provide routine information.Schedule and support meetings receptions staff lunches commencement community events and appointments as necessary and as requested.Maintain files both hard copy and electronic for historical legal and reference purposes.Assist with the management of the internal phone list and employee directory.Develop new and improve existing office systems and projects.Assist with the daily maintenance of offices and the breakroom supply orders maintain office equipment and other duties as necessary.Executive Support : Provide back-up administrative support for the Office of the President and Vice Presidents including calendar management projects and correspondence.Required to work a Saturday commencement event each calendar year.All other office support duties as assigned by the Director.Missional Expectations
