Administrative Assistant
Administrative Assistants provide administrative support for one or more of the following : general management, a research environment or a specific program. Key responsibilities include ensuring office activities comply with Emory policies and procedures, responding to incoming telephone calls, maintaining calendars and prioritizing meeting requests for management, reviewing incoming correspondence and identifying items of special interest to management; handling routine correspondence and preparing appropriate responses.
Additional duties may include completing forms, grant applications, and / or correspondence associated with programs; preparing charts and graphs for reports and presentations; creating and editing scientific, programmatic or other reports associated with department's primary business; scheduling meetings and handling logistics for meetings and special events; preparing materials for meetings and special events; initiating, processing, and maintaining records and invoices; keeping management apprised of account status, identifying cost-effective solutions and may authorize expenditures; monitoring or maintaining budgets and grants, assisting with budget development, and preparing related expense reports and reimbursements; planning and coordinating travel arrangements; maintaining databases and spreadsheets; analyzing data and designing / generating associated reports; establishing and organizing files and documents; overseeing ordering and maintenance of office supplies; supervising or directing the work of support staff and / or students; and performing related responsibilities as required.
Minimum qualifications include a bachelor's degree or equivalency of a high school diploma and five years of administrative experience. Proficiency with Microsoft Office including Outlook, PowerPoint, and Excel is required. Experience with collaboration tools (OneDrive, Zoom, Teams, and / or others) is also required.
The Center for Contemplative Science and Compassion-Based Ethics at Emory University seeks a highly organized, service-oriented Administrative Assistant to support the scaling of its CBCT (Cognitively Based Compassion Training) program and its new global digital learning platform that makes CBCT more accessible to diverse audiences across languages and regions. This role ensures a smooth and responsive experience for users worldwide, while providing essential administrative, logistical, and communications support for client services operations.
Client Support & Communication includes serving as the first point of contact for Compassion U online application users, responding promptly to inquiries via email, phone, and helpdesk platforms; troubleshooting user issues, tracking and escalating technical or content-related concerns to relevant internal teams; maintaining and updating client-facing support documentation, FAQs, and knowledge base articles; helping the CBCT Communications Specialist monitor the Compassion U Community and respond to questions, needs and concerns when applicable; and ensuring all client communications reflect the professionalism, responsiveness, and kindness central to the Compassion Center's mission.
Preferred qualifications include work experience of 3-5 years, demonstrated proficiency in WordPress and HubSpot CRM, strong written and verbal communication skills with the ability to communicate across cultures and contexts, strong organizational and time management skills, with attention to detail and follow-through, ability to manage multiple priorities, work independently, and collaborate effectively in a team environment.
