Data Reporting & Systems Coordinator

The Data Reporting & Systems Coordinator reports to the Associate Director, Data Analytics, to 1) provide data management, reporting, and analysis on all career-related data and information, 2) provide Handshake system administration and support, and 3) perform other duties as assigned.

Essential Functions :

  • Prepare student activity and engagement data reports for OPCD, MRE, Employer Relations leadership and teams, as well as University leadership upon request.
  • Perform data entry and maintain accurate records and databases.
  • Assist in data clean-up, mapping, and management for all surveys and data sources.
  • Run weekly job postings report for the Employer Relations team's Handshake Collections analysis.
  • Pull and denote student-reported interviews weekly out of the EMS (event management and reservable space) system.

Handshake System Administration and Support (40%)

  • Assist in the technical management of the Handshake system, connecting employers and students to thousands of organizations, jobs, and internships. Provide regular maintenance and technical support to users regarding the system, serving as a subject matter expert.
  • Maintain and create staff Handshake and student accounts that are not automatically created through the Workday Student Import.
  • Verify student demographic data within Workday Student, Handshake, and 12Twenty for data accuracy.
  • Maintain Handshake labels for students, pertaining to, but not limited to, coaching assignments, outcomes survey completion, enrollment status, and other necessary information for the system to operate properly.
  • Process requests for Handshake alumni accounts, delete incorrectly made alumni accounts, and send related email correspondence.
  • Perform annual system clean-up and conversion between academic semesters.
  • Process incoming student requests for Handshake accounts.
  • Operational and Event Support (10%)

  • Conduct Handshake tutorial sessions within student workshops or classes.
  • Provide student and organization triage support for virtual career events on Handshake.
  • Handle event attendance uploads and other programmatic system support.
  • Support Employer Relations team operations and events (within Brockway and on campus) as needed to ensure employer and student satisfaction.
  • Review and approve or decline pending unassigned job approvals to ensure the Handshake system queue is cleared daily (600-1,200 daily), as needed.
  • Post opportunities in Handshake, alongside student assistants, that Account Managers source, as needed.
  • Other Functions :

  • Perform other duties as assigned to support University and OPCD Leadership, the Employer Relations and OPCD / MRE teams in achieving their goals.
  • Required Education, Knowledge, Skills, Abilities :

  • Bachelor's degree
  • Ability to learn new software programs quickly.
  • Analytics knowledge, including : Visualization skills through PowerBI, Advanced Excel skills, Qualtrics, PowerQuery
  • Data experience / knowledge : Collecting, cleaning, and preparing data from various sources to ensure accuracy and suitability for visualization.
  • Data mapping experience to ensure all the data is standardized and clean.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Proficiency in Google Suite (Sheets, Documents, Slides).
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to work both independently and collaboratively within a team.
  • Strong attention to detail and problem-solving skills.
  • Friendly and professional demeanor.
  • Preferred Education, Knowledge, Skills, Abilities :

  • Knowledge of DAX, Workday Student, 12Twenty, and Handshake preferred
  • Understanding of higher education
  • Prior private sector experience in a business setting (i.e. technology platform, data)
  • Professional industry organization involvement, expertise or certification (i.e. NCACE)
  • Other related software expertise
