About the Role
The Operations Coordinator plays a critical role in ensuring TimberBLDR’s operational effectiveness. This role must bring strengths in relationship-building, process discipline, and execution consistency—areas where the current team has gaps. By providing balance and stability, the Operations Coordinator enables the broader team to focus on their strengths while ensuring financial accuracy, process rigor, and seamless coordination across projects. As a subcontractor specializing in design-build and superstructure scopes, TimberBLDR requires an Operations Coordinator who thrives in a fast-paced environment, brings structure to complex processes, and manages cross-functional collaboration.

Job Responsibilities :
Operational Support
- Collaborate with Operations leadership to establish departmental-wide goals.
- Maintain and manage a shared calendar to track project due dates, billing milestones, and critical deliverables.
- Support the development, updating, and distribution of project schedules with Project Managers.
- Audit active projects and report to the Vice President on efficiency and compliance.
- Facilitate feedback from project teams to Operations leadership.
Financial & Administrative Coordination
Partner with Accounting to ensure AR / AP are properly tracked, reconciled, and reported.Support the preparation of billing, lien waivers, and pay applications.Assist in job cost tracking, budget monitoring, and variance reporting.Manage correspondence and documentation to allow leadership to focus on high-value activities.Technology & Systems Management
Maintain and utilize Procore for project documentation, reporting, submittals, and RFIs.Develop proficiency in Microsoft Teams to improve communication, file sharing, and coordination across projects.Assist in designing and maintaining operational guides for consistency.Cross-Company & Vendor Coordination
Coordinate with other BLDR Holdings companies and external vendors for alignment and efficiency.Track subcontractor / vendor insurance, safety certifications, and compliance requirements.Assist in subcontractor / vendor onboarding and prequalification.Quality, Safety & Compliance
Collect and maintain safety certification reports; analyze and flag areas of concern.Track QA / QC logs and inspection reports with Project Managers.Ensure project teams adhere to local, federal, industry, and company standards.Reporting & Communication
Prepare agendas, minutes, and follow-up items for leadership meetings.Collect and maintain weekly / monthly project reporting for Operations leadership.Track and present metrics for project documentation and performance dashboard updates.Job Requirements :
High School Diploma required; Bachelor’s degree preferred.Minimum 2 years’ experience in construction operations, project coordination, or related fields.Proficient in Microsoft Office Suite; experience with Procore is preferred.Demonstrated strengths in relationship-building, process discipline, and execution consistency.Strong financial acumen with experience supporting AR / AP and project financial tracking.Excellent interpersonal, communication, and organizational skills.Ability to manage multiple priorities in a deadline-driven environment.High sense of urgency, attention to detail, proactive and resourceful.Capable of working both independently and collaboratively.Less than 20% travel to job sites required.Think you have what it takes to join our team?
